This is a fully remote position, open to applicants in South Africa.
• Develop and sustain high-quality prospect lists utilizing tools such as Apollo, Clay, and other data sources.
• Clean, deduplicate, validate, and format lead data for outreach and CRM imports.
• Enrich contacts and companies with necessary fields (titles, seniority, industry, employee count, location, domain, etc.).
• Implement suppression rules to prevent duplicates, existing customers, unsuitable accounts, and deliverability risks.
• Establish and manage the HubSpot CRM structure, including pipelines, stages, lifecycle logic, properties, views, and object structures (contacts, companies, deals).
• Create and configure dashboards and reports.
• Set up automations using HubSpot workflows: lead routing, task creation, SLAs, status updates, deal creation rules, follow-up logic, and internal notifications.
• Ensure proper data mapping between outbound tools and HubSpot: imports, field mapping, naming conventions, and standardization.
• Maintain CRM hygiene and operational consistency (data quality, deduplication rules, process adherence).
• Establish and oversee outbound email infrastructure: sending domains, inboxes, warm-up, and DNS records (SPF, DKIM, DMARC).
• Continuously monitor deliverability health: bounce rates, spam signals, reputation, and sending limits.
• Rapidly troubleshoot issues and implement remediation (list cleanup, domain changes, throttling, copy adjustments).
• Track performance and operational KPIs: deliverability, reply rates, positive reply rates, meeting rates, and conversion into pipeline stages.
• Analyze results weekly and implement structured improvements (targeting, messaging, sequencing, volume, routing).
• Maintain documentation: SOPs, checklists, configuration notes, and repeatable playbooks.
• Extensive experience with HubSpot (setup/admin mindset): pipelines, properties, workflows/automation, imports, and basic reporting.
• Familiarity with HubSpot integrations (email tools, calling tools, enrichment tools).
• Practical experience with outbound tools such as Apollo, Clay, Instantly / Smartlead / or similar platforms.
• Strong understanding of deliverability fundamentals: SPF / DKIM / DMARC, domain warm-up, and sending best practices.
• Proficient in spreadsheet tools (Sheets/Excel): data cleaning, transformation, QA, and deduplication logic.
• Comfortable working across multiple tools while ensuring systems remain clean and properly aligned.
