Associate Director – External Engagement

This is a fully remote position, open to applicants in United States.

📋 Description

• Lead the strategy and governance for vendors, which includes support for RFPs, selection of vendors, input on contract negotiations, and management of ongoing relationships in collaboration with Procurement.

• Take ownership of the comprehensive planning and oversight of logistics delivered by vendors for various external engagements such as advisory boards, HCP/KOL interactions, congresses, and partner meetings.

• Ensure that contracting, honoraria processing, expense payments, and accurate reporting for external expert interactions are compliant and timely, in partnership with Medical Affairs Operations.

• Facilitate clear cross-functional communication before and after significant engagements to guarantee alignment, preparedness, and ongoing enhancement.

• Manage vendor-related budget planning, forecasting, tracking, invoice review/approvals, and financial governance in accordance with contractual obligations.

• Recognize and execute opportunities for cost savings, operational efficiencies, and value realization from vendor partnerships, while maintaining a strong focus on risk and compliance.

⛳️ Requirements

• A bachelor's degree is required.

• Over 7 years of experience in vendor management, outsourcing, or operations leadership within pharmaceutical, biotech, or healthcare sectors.

• Proven experience in logistics for external engagements, event operations, and/or support for HCP interactions.

• Strong capabilities in vendor management, including negotiation and performance oversight.

• Extensive knowledge of global compliance and regulatory requirements associated with external expert engagements, including fair market value (FMV) and aggregate spend reporting principles.

• Solid financial acumen with experience in managing budgets, forecasting, and governance of invoices and contracts.
