This is a fully remote position, open to applicants in California, +4 more states.
• Organize, maintain, and update vehicle tags and registrations for company trucks, trailers, and UTVs.
• Verify the active or terminated status of fleet, trailers, and UTVs, updating records accordingly.
• Manage both physical and digital registration files.
• Collaborate with field teams and the fleet vendor, Wheels, to coordinate registration copies, renewals, and terminations.
• Track renewal requirements and proactively initiate the renewal process.
• Ensure accurate vehicle entries in the Fleet Management Vendor platform.
• Assist field teams with processes related to vehicle purchases and terminations.
• Prepare and distribute field driver kits along with updated fleet information.
• Oversee the coordination of incoming and outgoing corporate assets, including GPS units, cameras, fuel cards, and HD cards.
• Distribute assets to new hires and existing personnel via FedEx and UPS.
• Confirm the installation of GPS and camera replacements, as well as asset assignments.
• Maintain logs and tracking records for asset assignments.
• Coordinate DOT Driver Clearance when assigning fuel cards or vehicles.
• Administer and monitor the fuel card program.
• Manage the asset inbox by triaging requests and routing or fulfilling them as necessary.
• Log and track requests in FreshService, escalating unresolved items as needed.
• Maintain SharePoint document libraries and assist with version control.
• Generate weekly and monthly status reports.
• Support audit readiness, including data entry and record updates.
• Schedule meetings, coordinate logistics, and prepare meeting notes along with action-item summaries.
• Manage outgoing shipments via USPS, UPS, and FedEx.
• Assist with asset-related special projects and perform other assigned tasks.
• An Associate's degree is required; a Bachelor's degree is preferred.
• An equivalent combination of education and relevant administrative experience will be considered.
• A minimum of 5 years of experience in administrative, coordinator, or office support roles is preferred.
• Experience in fleet, logistics, facilities, or asset management is advantageous but not mandatory.
• Previous experience in a remote or distributed team environment is a plus.
• Strong organizational skills with a keen attention to detail and accuracy are essential.
• Effective written and verbal communication skills, coupled with a professional telephone manner, are required.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office software is necessary.
• Comfort with electronic document management systems such as SharePoint or ShareFile is important.
• Ability to handle a high volume of routine tasks concurrently while effectively prioritizing responsibilities.
• Capability to work independently in a remote setting while maintaining reliable communication.
• Reliability, dependability, and flexibility are crucial.
• A professional demeanor in both internal and external communications is expected.
