This is a fully remote position, open to applicants in Arizona, +4 more states.
• Offer administrative and operational assistance to the Executive Area Director and the area leadership team.
• Facilitate activities across various markets, locations, and time zones.
• Organize, schedule, and plan area meetings, including creating agendas, managing logistics, preparing meeting materials, handling communications, and ensuring follow-up actions are executed.
• Arrange meetings and special events, which encompass material preparation, venue selection, attendee lists, catering, speaker coordination, and vendor management.
• Oversee area events, leadership meetings, town halls, and off-site gatherings.
• Manage travel arrangements including airfare, accommodation, transportation, and itineraries for area leadership.
• Process and reconcile travel and business expenses efficiently.
• Create executive presentations, reports, dashboards, and business communications utilizing Microsoft Excel and PowerPoint.
• Maintain, monitor, and analyze data for business planning, operational reporting, and performance tracking.
• Collaborate with both internal and external stakeholders on regional priorities and initiatives.
• Handle office and business support tasks to ensure smooth daily operations.
• Coordinate special projects and provide administrative support for significant business initiatives.
• Recognize and implement process enhancements.
• Manage confidential and sensitive information with discretion and professionalism.
• Complete tasks while balancing multiple priorities and competing deadlines.
• High School Diploma or GED is mandatory.
• 1–2 years of experience in administrative roles, executive support, event coordination, operational support, or a related field is required.
• Proficiency in Microsoft Office Suite, encompassing Teams, Outlook, Word, Excel, and PowerPoint.
• Proven experience in coordinating meetings, events, travel logistics, and expense management.
• Strong analytical abilities and data management expertise.
• Exceptional organizational skills with the capacity to prioritize multiple tasks and meet deadlines with minimal supervision.
• Keen attention to detail and a commitment to delivering accurate results.
• Excellent verbal and written communication skills, including proficiency in professional business correspondence.
• Strong interpersonal abilities and the capability to collaborate effectively with leaders, colleagues, and cross-functional teams.
• Ability to demonstrate sound judgment and maintain confidentiality when dealing with sensitive business information.
• Willingness to travel up to 5%.
• Candidates must be located in the Central or West Coast time zone.
• An Associate degree is preferred.
• Experience supporting executive or senior-level leaders is preferred.
• Advanced proficiency in Microsoft Excel, Teams, and PowerPoint is preferred.
• Experience in supporting multi-site or area operations across different time zones is preferred.
• Familiarity with coordinating large-scale meetings, leadership events, and business functions is preferred.
• Proven track record of identifying opportunities for process improvement and operational efficiency is preferred.
• Ability to collaborate effectively with geographically dispersed teams across various time zones is preferred.
