This is a fully remote position, open to applicants in Guatemala.
• Oversee lead conversion and patient scheduling processes.
• Monitor GoHighLevel (GHL) in real-time and ensure all incoming leads are responded to within 5 minutes during business hours.
• Perform outbound follow-up calls, texts, and emails to nurture leads.
• Establish rapport with potential patients and assist them in scheduling appointments.
• Gather deposits, confirm bookings, and provide all necessary pre-visit information.
• Keep precise CRM records with comprehensive notes, tags, and follow-up actions after each interaction.
• Manage CRM and pipeline operations.
• Optimize GHL pipelines, funnels, sequences, and lead stages.
• Conduct regular audits of lead pipelines to ensure no opportunities are overlooked.
• Identify and report any automation issues, system errors, or changes in campaign performance.
• Collaborate with marketing and advertising teams to enhance lead flow optimization.
• Reactivate and engage with inactive or cold leads through structured monthly follow-up campaigns.
• Tailor communication style according to lead behavior and readiness.
• Reintroduce qualified reactivated leads into active conversion sequences.
• Support patient retention through continuous outreach initiatives.
• Monitor social media platforms such as Instagram and Facebook for messages, comments, and inquiries during working hours.
• Convert social media interest into qualified leads and booking opportunities.
• Appropriately escalate sensitive or negative interactions.
• Implement Google review outreach campaigns to enhance online reputation and community trust.
• Prepare and submit daily, weekly, and KPI performance reports to leadership.
• Respond promptly to direct requests from Dr. Kace and assist with additional business growth initiatives.
• Aid in research, outreach, partnerships, and strategic projects as assigned.
• Minimum of 3+ years of professional work experience.
• Demonstrated experience in sales, lead generation, appointment setting, or customer service.
• Strong verbal communication skills and adeptness in handling objections.
• Ability to manage a high volume of follow-up processes.
• Proficient in using CRM systems.
• Exceptional organizational and time management skills.
• Comfortable working with KPIs and performance metrics.
• Capable of working independently in a remote setting.
• Must possess a webcam, microphone, and computer (relevant software and subscriptions will be provided).
• Superior English verbal and written proficiency (C2 in CEFR Scale).
