AI & Automation Specialist

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Evaluate current business processes to find opportunities for automation and increased efficiency.

• Develop and sustain automations across various business systems.

• Integrate Xero, Microsoft 365, SharePoint, GoHighLevel, Dext, HazardCo, and Todoist.

• Automate processes related to tendering, project administration, forecasting, contract management, procurement, invoice processing, progress claims, timesheets, reporting, document management, workflows, and notifications.

• Utilize AI tools to enhance processes, minimize manual tasks, and assist in decision-making.

• Connect different systems and ensure the accurate flow of information between platforms.

• Create workflows that minimize double handling, data entry, and repetitive administrative duties.

• Assess and enhance existing automations for reliability and effectiveness.

• Troubleshoot problems and modify systems as business needs evolve.

• Document systems, workflows, and automations comprehensively.

• Produce process documentation and guides for the broader team.

• Educate office staff on new systems and automated workflows.

• Monitor system performance and pinpoint additional improvement opportunities.

• Collaborate with the business owner to transform operational challenges into technical solutions.

• Initially familiarize yourself with the business, identify inefficiencies, and establish core automation systems.

• Transition into the ongoing management, maintenance, optimization, troubleshooting, and development of the automation environment.

⛳️ Requirements

• Candidate must be based in the Philippines.

• Experience in working with construction companies and their project management software and systems is essential.

• Demonstrated hands-on experience in building and implementing business automations.

• Strong expertise in integrating Xero with other systems and workflows.

• Proficient working knowledge of Microsoft 365 and SharePoint.

• Practical experience utilizing AI tools within actual business workflows.

• Experience with APIs, integrations, automation platforms, and workflow tools is necessary.

• Ability to comprehend existing processes and identify opportunities for technology to reduce manual work.

• Strong problem-solving and troubleshooting abilities.

• Skill in documenting technical processes clearly for non-technical users.

• Experience in training teams and facilitating the adoption of new systems.

• Excellent attention to detail and understanding of reliable system integration.

• Familiarity with GoHighLevel, Dext, or Todoist is preferred.

• Background in construction, trades, property, engineering, or another project-based industry is advantageous.

• Experience in automating tendering, project administration, invoicing, or financial workflows is a plus.

• Knowledge of reporting dashboards and business intelligence tools is desirable.

• Experience in implementing AI agents or AI-powered business workflows is a bonus.

• Advanced automation expertise beyond basic AI tools or Zapier-style workflows is preferred.

• Highly proactive and self-motivated.

• Comfortable working independently and collaborating with non-technical team members.

• Commercially oriented and focused on practical outcomes.

• Ability to communicate technical concepts clearly.

• Organized and detail-oriented.

• Willingness to take ownership of implemented systems.

• Must disclose any ongoing roles or client work.
