This is a fully remote position, open to applicants in United States.
• Oversee, mentor, and enhance the skills of Program Specialists, interns, and shared support personnel through onboarding, performance evaluations, prioritization, and professional growth.
• Set clear service benchmarks, workflows, operating procedures, and expectations that foster consistency and accountability within Advisor Marketing.
• Manage team capacity, service requests, and shared resources to ensure alignment with departmental priorities and business needs.
• Assist Advisor Marketing leadership by preparing meeting agendas, coordinating updates, organizing discussion points, documenting decisions, and tracking action items for leadership meetings and operational reviews.
• Create leadership dashboards, summaries, presentations, and status reports that enhance visibility into departmental priorities, risks, pending decisions, and strategic initiatives.
• Collaborate with department leaders to discover opportunities for operational enhancements, shared-service growth, and improved cross-functional collaboration.
• Cultivate a culture of accountability, operational excellence, continuous improvement, curiosity, and service that empowers the team to scale effectively.
• Manage the Advisor Marketing resource ecosystem, encompassing SOPs, playbooks, templates, toolkits, process documentation, and knowledge management.
• Establish governance standards for the creation, maintenance, organization, review, and retirement of resources.
• Document and scale advisor marketing best practices into replicable frameworks.
• Minimize dependence on informal knowledge through practical documentation, FAQs, workflow guides, and process maps.
• Collaborate across teams to standardize workflows and enhance operational efficiency.
• Analyze resource utilization, identify process gaps, eliminate redundancy, and consistently enhance operations.
• Define success metrics and utilize insights to bolster service delivery and team performance.
• Act as the operational lead for Advisor Marketing platforms, vendor relationships, and marketing technologies.
• Maintain platform documentation, training materials, access procedures, vendor communications, and enhancement tracking.
• Translate business requirements into platform enhancements, adoption strategies, and implementation plans.
• Design and implement scalable training, onboarding, quick-start guides, videos, FAQs, office hours, and workflow education.
• Lead change management efforts for new tools, processes, and platform enhancements through effective communication, reinforcement, and measurement.
• Collaborate with Technology, Operations, Compliance, Creative, and vendors to optimize platform performance and user experience.
• Boost adoption by ensuring tools are intuitive, practical, and directly linked to advisor growth and client experience.
• Advocate for responsible adoption of approved AI tools and emerging technologies.
• Identify manual workflows that can be enhanced through AI, automation, or process redesign.
• Create AI-enabled workflows, prompt libraries, templates, and replicable use cases.
• Leverage AI to accelerate documentation, meeting summaries, training content, playbooks, campaign planning, and knowledge management.
• Establish governance for AI utilization, including quality control, compliance, and human review.
• Measure AI adoption, collect feedback, and identify opportunities to enhance speed, quality, accountability, and operational efficiency.
• Scale successful AI workflows across the department through documentation, training, and ongoing improvement.
• Bachelor’s degree in Marketing, Communications, Business, Operations, or a related field; or equivalent demonstrated through experience, training, military service, or other educational backgrounds considered.
• 4 to 6 years of experience in marketing operations, project management, enablement, advisor marketing, platform management, shared services, AI-enabled workflow enhancement, or a similar role.
• Preferred 2+ years of experience in people leadership, team leading, or direct management.
• Experience managing support teams, shared services, interns, contractors, vendor-supported resources, or cross-functional operating models is preferred.
• Experience in financial services, wealth management, advisor marketing, or a highly regulated setting is preferred.
• Strong project management and organizational abilities with the capacity to handle multiple priorities and drive projects to completion.
• Proficient in working across various platforms such as Salesforce, FMG/AMP, Canva, Wistia, Wrike, Microsoft Teams, OneNote, SharePoint, Microsoft Copilot, ChatGPT Enterprise, Airia, or similar tools.
• Practical experience employing AI tools to boost productivity, documentation, research, content drafting, training, process improvement, workflow automation, or leadership preparation is preferred.
• Comfortable experimenting with AI use cases, developing prompts, documenting workflows, and training others on responsible AI usage.
• Ability to balance innovation with sound judgment, compliance awareness, brand standards, and data/privacy considerations.
• Excellent written and verbal communication skills, including the capability to produce clear documentation, training materials, stakeholder updates, leadership content, and practical resources.
• Ability to convert ambiguous business needs into structured workflows, resources, recommendations, or operating models.
• Experience coordinating with vendors, technology teams, compliance, creative teams, operations, or cross-functional partners is preferred.
• Strong attention to detail with the ability to comprehend both the overall vision and the operational steps required for execution.
• Curious, resourceful, and willing to learn new tools, platforms, systems, and AI-enabled working methods.
• Ability to influence without authority and drive adoption through clarity, partnership, accountability, and practical enablement.
• Willingness to travel 2-4 times a year.
