This is a fully remote position, open to applicants in Minnesota.
• Oversee intricate, high-volume calendars that align with strategic priorities.
• Facilitate leadership rhythms (staff meetings, one-on-ones, product reviews, offsite events, and board preparation).
• Prepare materials that are ready for decision-making (agendas, pre-reads, presentations) and monitor follow-ups.
• Compose and refine executive communications and internal messaging.
• Manage travel arrangements, expenses, and daily executive operations with accuracy.
• Coordinate cross-departmental initiatives across Product, Wealth Solutions, and Operations.
• Monitor milestones, risks, and dependencies; proactively address challenges.
• Ensure visibility into key priorities through dashboards and reporting mechanisms.
• Provide insights on ongoing process enhancements to boost efficiency and accountability.
• Collaborate with Product, Advisor Services, Finance, Compliance, IT, and Operations.
• Align stakeholders on goals, deliverables, and timelines.
• Assist in onboarding coordination and internal communications within CCS.
• Aid in the execution of firm-wide and CCS-specific initiatives.
• Lead the logistics for leadership meetings, offsite events, and external engagements.
• Ensure exceptional hybrid meeting execution (technology, materials, coordination).
• Support advisor/client events and leadership forums.
• Organize board materials and prepare for meetings as necessary.
• Oversee administrative workflows, vendor coordination, and executive operations.
• Implement scalable processes, tools, and automation (reporting, communications, onboarding).
• Maintain robust organization, documentation, and follow-through.
• Enhance visibility, efficiency, and consistency across CCS processes.
• Coordinate administrative support resources and set execution standards.
• Promote responsiveness, professionalism, and excellence in service.
• Cultivate a culture of accountability, attention to detail, and continuous improvement.
• Bachelor’s degree or equivalent experience.
• At least 6 years of experience in executive support, program management, or a hybrid role.
• Experience in supporting senior executives (C-suite preferred) in dynamic environments.
• Proven track record in managing cross-functional projects and navigating competing priorities.
• Strong communication skills (verbal, written, presentation) across all levels, including at the executive level.
• Advanced proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Excel, SharePoint).
• Highly organized, proactive, and detail-oriented with excellent follow-through.
• Capability to manage confidential information with discretion.
• Strategic thinker with strong execution discipline.
• Skills in prioritization, problem-solving, and decision support.
• Process improvement and operational mindset.
• Ability to influence and collaborate across various functions.
