This is a fully remote position, open to applicants in United States.
• Collaborate closely with and offer assistance to two Executive Assistants, each supporting multiple C-Suite leaders. Responsibilities may encompass scheduling, processing expense reports, arranging travel, preparing presentations and reports, among other essential tasks.
• Aid the EAs in organizing and managing team events across North America, liaising with hotels, meeting facilities, and restaurants.
• Create PowerPoint presentations, including those for Veritas, the weekly all-staff meeting.
• Retrieve and distribute the daily mail from a virtual mailbox.
• Check phone messages and pass them along as necessary.
• Oversee documents, meeting recordings, and maintain data integrity in the company drive.
• Act as a point of contact for employee queries and route requests to the appropriate resources.
• Provide limited administrative support to Senior Vice Presidents and Vice Presidents.
• Execute any other duties as assigned by the position’s manager and the Senior Director of People Operations.
• Offer occasional coverage for executive assistants during scheduled vacations, brief absences, or periods of heightened workload.
• A minimum of 2 years of experience and demonstrated success as an administrative or executive assistant or office manager.
• Proficient in Microsoft Office, Google Workspace, Slack, and possess a high level of Internet communication skills.
• Capable of learning new software as necessary, sometimes utilizing online tutorials.
• Strong critical thinking abilities with a collaborative approach to problem-solving.
• Customer-service-oriented mindset towards supporting employees and leaders, with adaptability to rapidly changing business priorities and a solutions-driven attitude.
• Ability to thrive in a fast-paced, high-growth, deadline-driven, team-focused, virtual setting while managing multiple projects and priorities.
• A passion for energy and climate issues, with a belief in doing well by doing good.
• Self-motivated with the ability to identify and prioritize urgent needs effectively.
• Capable of handling confidential and sensitive information with discretion.
• Excellent written and verbal communication skills, alongside a keen attention to detail.
• Proficient in working effectively in a remote environment, with reliable internet access, while remaining highly responsive and engaged through virtual collaboration tools.
