This is a fully remote position, open to applicants in Philippines.
β’ Daily review of the sales pipeline to evaluate the status of each job within the process.
β’ Identify jobs that have become stagnant or are lingering at a stage longer than anticipated and bring them to the manager's attention.
β’ Reach out to sales representatives via text using the Podium phone system or CRM messaging to gather any missing information and facilitate job progression.
β’ Accurately and promptly update job records in the CRM based on information received from the sales team.
β’ Monitor the pipeline for discrepancies, missing documentation, or halted progress and proactively highlight any issues that require action.
β’ Elevate concerns or unusual trends to the operations manager rather than allowing problems to remain unaddressed.
β’ Contact insurance companies on behalf of active claims.
β’ Follow up on outstanding claims, request status updates, verify coverage details, and document results in the CRM.
β’ Clearly and professionally communicate with insurance adjusters and representatives.
β’ Track insurance call activity and identify claims that need escalation or further attention.
β’ Maintain organized records of all insurance interactions for internal reference and management review.
β’ Send professional, template-based emails to clients at crucial points in the job process.
β’ Ensure clients receive timely updates and that communications are accurate, on-brand, and dispatched without delay.
β’ Address basic client inquiries or direct them to the appropriate team member as necessary.
β’ Uphold a client-first approach in all communications β each interaction reflects Phoenix Roofing and Repair.
β’ Generate client-facing photo reports using job images supplied by the field team.
β’ Organize and format reports clearly and professionally for client delivery.
β’ Ensure photo reports are completed and sent to clients promptly following field inspections or project milestones.
β’ Assist with basic project estimates using company-provided templates and pricing guidelines.
β’ Comprehensive training on estimating processes will be provided β prior experience in roofing or estimating is not necessary.
β’ Ensure completed estimates are accurately entered into the CRM and communicated to the appropriate team member.
β’ Keep organized and up-to-date job files and records within the CRM and supporting systems.
β’ Support the operations manager and sales team with daily administrative tasks as required.
β’ Adhere to established workflows and procedures while identifying any gaps or inefficiencies to leadership.
β’ This is a full-time position.
