This is a fully remote position, open to applicants in United States.
• Supervise and consistently enhance firm processes, policies, and workflows for the delivery of client services.
• Facilitate client onboarding to guarantee smooth and positive experiences.
• Deploy and oversee tools and software for optimal workflow efficiency and data security.
• Ensure adherence to industry standards and firm protocols.
• Suggest and aid in the implementation of new technologies and processes to boost efficiency.
• Address operational or workflow challenges as they occur, escalating when necessary.
• Organize regular assessments of systems and applications used by the firm to confirm proper billing and utilization.
• Manage external IT partnerships, ensuring the highest standards of data integrity, innovation, and integration.
• Monitor and report on critical operational metrics (e.g., turnaround times, team deadlines, process enhancements).
• Aid in maintaining high-quality standards in deliverables and client communications.
• Promote a positive, inclusive, and highly engaged team culture.
• Plan, organize, and lead regular team meetings, ensuring clear agendas and actionable outcomes.
• Oversee and track professional development initiatives and continuing education compliance for all team members.
• Arrange and manage logistics for the annual team retreat, including planning activities aligned with team-building and strategic objectives.
• Create and execute team engagement initiatives (e.g., recognition programs, surveys, team challenges) to enhance motivation, collaboration, and well-being.
• Collaborate with the service team on client renewals, engagement letters, and fee schedules.
• Assist the client services team in managing communications and addressing operational inquiries or issues.
• Lead or engage in internal training sessions on new processes, software, and client service strategies.
• Collect team feedback on workflows and suggest modifications for improved performance and satisfaction.
• Act as a personal assistant to the Managing Partner, providing proactive scheduling and calendar management.
• Organize, manage, and respond to emails on behalf of the firm owner as directed, ensuring timely communication.
• Arrange meetings, appointments, and travel plans.
• Prepare correspondence, meeting agendas, and routine communications as required.
• Support special projects and confidential tasks at the discretion of the firm owner.
• Preferred Bachelor’s degree in business, operations, or a related field.
• At least 3 years of relevant experience, ideally in an accounting/bookkeeping or professional services context.
• Excellent organizational, communication, and project management abilities.
• Knowledge of accounting or bookkeeping processes and cloud-based software (e.g., QuickBooks Online, workflow management tools).
• Experience in planning team activities, meetings, or retreats.
• Proven capacity to foster a positive, collaborative team environment.
• High level of integrity and respect for confidentiality.
• Self-driven, capable of working independently and managing multiple priorities.
