
ABA Care Coordinator – Staffing & Recruitment

This is a fully remote position, open to applicants in South Africa.
• Daily review of the open case list, organized by state, county, and zip code.
• Utilize an internal geographic map of current staff and clients to identify appropriate therapist matches for open cases.
• Assess whether existing staff can fill open cases or if new recruitment is necessary.
• Dispatch official staffing confirmation and welcome emails once a case is filled, including start dates.
• Transition fully staffed cases to the Case Management team for ongoing client support.
• Keep active job postings across various platforms (Indeed, ZipRecruiter, Glassdoor, and others) through the Apploy platform.
• Screen, interview, and evaluate ABA therapist and BCBA candidates.
• Thoroughly assess candidates for availability, noting that most cases require afternoon, evening, and weekend hours.
• Oversee candidate onboarding via the Empion platform, tracking document completion and following up to ensure timely case readiness.
• Customize recruitment strategy by geography, proactively pooling candidates in high-turnover regions while recruiting on a case-by-case basis in stable areas.
• Strive for an interview-to-ready-to-start turnaround of about one week whenever feasible.
• Maintain open and empathetic communication with families in challenging staffing areas, reassuring them that the search is ongoing.
• Work closely with the Intake, Case Management, and Clinical teams.
• Handle multiple open cases simultaneously while effectively prioritizing based on urgency and geography.
• Previous experience in recruitment, staffing coordination, HR, or a related field.
• Strong organizational skills with the capability to manage a large volume of open cases simultaneously.
• Exceptional attention to detail — accuracy in record-keeping, CRM management, and candidate tracking is crucial.
• Confident and clear English communication skills, both written and verbal.
• Comfortable with a high volume of daily calls and emails.
• Proactive and self-directed working style — able to prioritize tasks independently without close supervision.
• Resilient and solutions-oriented when encountering difficult-to-fill geographies or challenging candidate pipelines.
• Tech-savvy with the ability to quickly learn new platforms and internal systems.
• Highly advantageous: Experience in ABA, autism services, healthcare, or a related therapy field.
• Previous experience supporting a U.S.-based company remotely.
• Familiarity with ABA roles — understanding the distinction between RBTs/therapists and BCBAs/supervisors.
• Experience with recruitment or applicant tracking platforms (e.g., Indeed, ZipRecruiter, Workable, or similar).
