This is a fully remote position, open to applicants in Philippines.
• Professionally respond to incoming patient calls and promptly return missed calls or voicemails.
• Collect accurate patient information and assess the appropriate subsequent action.
• Appropriately escalate urgent or clinical issues while maintaining a confident and courteous phone demeanor.
• Create task lists in Practice Plus / Nextech for refill requests, patient inquiries, and administrative follow-ups.
• Accurately route messages to the physician, technician, or relevant team member.
• Monitor outstanding requests to ensure no patient concern is overlooked or unresolved.
• Assist both new and established patients with appointment requests utilizing the clinic's approved procedures.
• Complete necessary triage steps prior to scheduling patients requiring physician review.
• Schedule or reschedule appointments precisely according to approved guidelines and urgency protocols.
• Dispatch appointment reminder texts using the clinic's authorized scripts via Reach UC.
• Manage scheduling-related communications in a professional and clear manner.
• Clearly communicate with the clinic team via Microsoft Teams regarding breaks, updates, and pending tasks.
• Submit a daily end-of-day report summarizing completed tasks, unresolved issues, and escalations.
• A minimum of 1 year of U.S. healthcare administrative experience in a patient-facing capacity.
• Experience in managing patient phone calls, scheduling appointments, and following up on voicemails.
• Familiarity with verifying insurance benefits, copays, deductibles, or patient responsibilities.
• Excellent spoken and written English communication skills.
• A professional, warm, and confident phone presence.
• Strong attention to detail when documenting patient information and requests.
• Ability to adhere to protocols diligently and escalate concerns as necessary.
• Demonstrated reliability, accountability, and follow-through.
• Capacity to work independently in a small clinic setting.
• Availability to work the required Eastern Time schedule.
• A reliable internet connection, functional computer, clear headset or microphone, and suitable backup resources.
