This is a fully remote position, open to applicants in Philippines, +2 more states.
β’ Oversee calendars, appointments, meetings, and travel arrangements.
β’ Coordinate both personal and professional schedules for executives.
β’ Manage confidential correspondence and communications with utmost discretion.
β’ Prepare meeting agendas, presentations, notes, and action items for follow-up.
β’ Monitor deadlines, reminders, and ongoing priorities.
β’ Assist with personal errands, research, reservations, purchases, and other requests from executives.
β’ Identify tasks that can be automated or simplified for efficiency.
β’ Utilize AI tools to enhance productivity, documentation, scheduling, research, and communication.
β’ Develop and maintain straightforward workflows, templates, and standard operating procedures.
β’ Provide support to the CEO, executive leadership, and senior team members with both personal and administrative tasks.
β’ Bachelor's degree in Business Administration or a related field.
β’ At least 2 years of experience in supporting executives, senior leadership, or business owners.
β’ Proven experience working remotely for a U.S.-based company is required.
β’ Bilingual proficiency in English and Mandarin Chinese is preferred but not mandatory.
β’ Exceptional organizational and time management skills.
β’ Strong written and verbal communication skills in English.
β’ High level of discretion in handling confidential information.
β’ Ability to quickly learn and adopt new technologies.
β’ Experience with project management tools such as Monday.com, Asana, ClickUp, or similar platforms.
β’ Keen interest in AI tools and workflow automation, with a talent for identifying efficiency enhancements.
β’ Highly resourceful, detail-oriented, and capable of independently managing multiple priorities.
β’ Independent contractor responsible for personal tax compliance.
β’ A probationary period of 3 months.
β’ Full-time schedule of 8 hours per day, not including a 1-hour break.
β’ Minimum of 6 hours of overlap with the firm's operating hours in Pacific Time.
