This is a fully remote position, open to applicants in Philippines.
• Optimize executive workflows to enhance the CEO’s time management and priority alignment.
• Ensure visibility across all operational tasks, projects, and team commitments.
• Facilitate timely and effective decision-making for the CEO and leadership team.
• Boost company productivity by maintaining organized systems and dashboards.
• Foster team accountability and alignment regarding priorities, deliverables, and deadlines.
• Oversee the CEO’s calendar, scheduling, and daily tasks across various time zones.
• Coordinate travel logistics, including flights, accommodations, transportation, and meetings.
• Organize both internal and external meetings, including board-level discussions.
• Manage professional and occasional personal administrative tasks for the CEO.
• Ensure the CEO’s schedule is in line with company priorities.
• Serve as the central operational coordinator for all key tasks and projects.
• Monitor company priorities, deadlines, and deliverables among team members.
• Follow up with team members to guarantee commitments are fulfilled.
• Identify potential blockers or risks and proactively escalate them to leadership.
• Maintain operational visibility to keep the team aligned and productive.
• Optimize and manage the company’s Notion workspace.
• Track project updates, task ownership, and overarching company priorities.
• Ensure accountability by overseeing responsibility for deliverables and deadlines.
• Keep documentation and workflows current as the company evolves.
• Assist the CEO in maintaining a transparent operational dashboard.
• Manage meeting documentation by translating discussions into structured tasks.
• Participate in Zoom meetings to capture action items and summarize key outcomes.
• Brief the CEO on key takeaways, priorities, and next steps following meetings.
• Facilitate team access to the CEO for decisions or approvals.
• Assist with onboarding logistics for new team members when required.
• Support operational enhancements and process improvements as the company expands.
• Over 5 years of experience in executive assistance, operations coordination, or chief-of-staff support roles.
• Proven expertise in managing executive calendars, travel logistics, and complex scheduling.
• Exceptional organizational and task management abilities; adept at handling multiple priorities.
• Excellent proficiency in written and spoken English communication.
• Professional demeanor with the ability to engage with senior leadership.
• Proactive, anticipatory, and solutions-focused mindset.
• Comfortable managing upward and ensuring accountability across teams.
• High level of attention to detail and dependability with sensitive information.
• Confident participation in professional meetings and Zoom communications.
• Experience supporting founders or executives in startups or small high-growth teams (preferred).
• Previous experience in real estate development or investment environments (preferred).
• Familiarity with operational documentation and knowledge management systems (preferred).
• Experience with AI productivity tools or automation platforms (preferred).
• Background in operations, project coordination, or chief-of-staff style roles (preferred).
