This is a fully remote position, open to applicants in Philippines.
• Oversee executive calendars across various time zones, ensuring precision and prioritization.
• Arrange both internal and external meetings, coordinating availability with stakeholders.
• Manage and organize inboxes, flagging priority messages and drafting responses as necessary.
• Ensure prompt follow-ups on emails, tasks, and action items.
• Maintain and update CRM systems, guaranteeing accurate contact records, activity logs, and pipeline monitoring.
• Provide support for CRM updates by keeping the system current, tracking notes, engagement history, and details for sales and nurturing activities.
• Generate CRM reports and assist leadership with data analysis and follow-ups.
• Help executives craft thoughtful, personalized follow-up communications with partners, clients, and prospects. This includes reviewing meeting notes, conducting background research on companies or stakeholders, synthesizing insights, and drafting action-oriented yet professional emails in line with company messaging and services.
• Prepare meeting agendas and monitor deliverables and next steps.
• Assist with documentation and coordination of internal communications.
• Support vendor coordination, scheduling logistics, and event planning as needed.
• Aid in travel arrangements when necessary.
• Track executive priorities, deadlines, and commitments.
• Maintain organized records, files, and workflow systems.
• Minimum of 4 years experience as a Virtual Executive Assistant supporting Top-Tier C-Level Executives.
• Strong skills in calendar, email, and administrative management.
• Familiarity with CRM platforms (HubSpot preferred or similar systems).
• Exceptional written and verbal communication skills in English.
• Strong research, synthesis, and business writing capabilities.
• High attention to detail and robust critical thinking skills.
• Demonstrated ability to multitask, prioritize, and meet deadlines.
• Tech-savvy and proficient in using productivity tools (Google Workspace, Microsoft Office, etc.).
• Experience remote flexibility and a results-oriented work culture.
