This is a fully remote position, open to applicants in Philippines.
• Oversee the CIO’s calendar and facilitate scheduling among designated IT and Training leaders, proactively addressing conflicts, safeguarding focus time, and organizing recurring leadership meetings, including the monthly Senior Leadership Team sessions.
• Create meeting agendas, document and distribute notes, track action items, and follow up on outstanding deliverables to ensure timely execution.
• Compose, edit, and manage correspondence on behalf of the CIO and designated leaders; triage incoming requests and direct them to the relevant stakeholders.
• Arrange domestic and international travel logistics, develop comprehensive itineraries, and process expense reports for the CIO and designated leadership team members.
• Assist in contract management, vendor onboarding, and renewal processes alongside procurement teams; monitor key dates and manage documentation for review and approval.
• Maintain departmental records, distribution lists, organizational charts, and shared documentation, ensuring accuracy, version control, and proper access permissions.
• Monitor deliverables, milestones, and deadlines across IT projects; facilitate cross-functional collaboration and provide leadership with clear insights into project status and progress.
• Manage sensitive personnel, security, financial, and vendor information with the utmost professionalism, confidentiality, and compliance with company data security policies.
• Execute additional duties and responsibilities as assigned.
• Exceptional written and verbal communication skills, with the capability to engage professionally and effectively across all levels of the organization.
• Advanced proficiency in Microsoft 365 applications, including Outlook, Teams, SharePoint, Word, Excel, and PowerPoint.
• Proven ability to manage highly confidential and sensitive information with discretion, professionalism, and sound judgment.
• Strong organizational, time management, and follow-through skills, with an exceptional focus on detail.
• Demonstrated ability to prioritize competing demands, handle multiple tasks simultaneously, and consistently meet deadlines in a fast-paced environment.
• A minimum of five (5) years of experience providing executive-level administrative support, ideally supporting multiple senior leaders concurrently.
• Experience in financial services, mortgage lending, banking, or another highly regulated industry is preferred.
• Proven success in dynamic, high-accountability environments that require strong coordination, communication, and problem-solving skills.
