This is a fully remote position, open to applicants in South Africa.

πŸ“‹ Description

β€’ Send notifications after bookings and establish email reminders for excursions, dining reservations, and final payments.

β€’ Review and analyze flight schedules; pinpoint any changes and prepare concise, client-ready summaries.

β€’ Assist clients in completing online trip profiles, including occasional phone support for clients who are less tech-savvy.

β€’ Create polished itineraries and travel proposals in Travify based on detailed instructions from the agency owner.

β€’ Conduct thorough self-reviews of all proposals prior to submission to ensure completeness and correct formatting.

β€’ Format and present trip details in an attractive layout ready for client approval.

β€’ Reach out to suppliers (via phone or email) on behalf of the agency owner to acquire pricing or add services to existing bookings.

β€’ Communicate in a professional and accurate manner, representing the agency in all supplier interactions.

β€’ Accurately and promptly enter new trips and client information into Travify.

β€’ Ensure data integrity across all client records, verifying that contact details and automated reminders are accurate and up-to-date.

β€’ Code transactions across existing accounts (all accounts are pre-set up β€” transaction volume is low).

β€’ Process weekly payroll in Paychex for one contractor (approximately 10 minutes per week).

β€’ Assist in the development and documentation of standard operating procedures (SOPs) for agency workflows.


⛳️ Requirements

β€’ Minimum 3–4 years of experience in a virtual assistant, administrative, or operations support role.

β€’ Exceptional attention to detail β€” this is non-negotiable in a luxury travel environment.

β€’ Strong written and verbal communication skills in English.

β€’ Comfortable making professional phone calls to suppliers and clients on behalf of the business.

β€’ Basic bookkeeping skills β€” comfortable coding transactions and maintaining straightforward financial records.

β€’ Reliable, punctual, and proactive β€” communicates promptly if availability or schedule changes.

β€’ Available to work within Central Time Zone (CT) business hours.

β€’ Prior experience with Travify β€” comprehensive training resources are available if needed.

β€’ Familiarity with Paychex or similar payroll platforms.

β€’ Experience in writing SOPs or developing internal process documentation.

β€’ Background in travel, hospitality, or luxury lifestyle industries.
