This is a fully remote position, open to applicants in Philippines.
• In the role of Compass Real Estate Virtual Assistant, you will be essential in aiding real estate agents and teams by ensuring smooth transaction coordination, effective marketing execution, and clear client communication.
• Core responsibilities encompass:
• - Overseeing the complete process of real estate listings from pre-listing to launch and follow-up activities post-launch.
• - Preparing and reviewing contracts, disclosures, and transaction documents as per agent directions.
• - Managing timelines from contract to closing, ensuring milestones, compliance, and accuracy.
• - Facilitating daily interactions with clients, agents, escrow personnel, vendors, and internal teams.
• - Monitoring multiple transactions and deadlines concurrently.
• - Maintaining and updating the Compass CRM, which includes contact tagging and organizing the database.
• - Creating and disseminating newsletters and email marketing campaigns.
• - Updating the brand book, listing presentations, and marketing materials.
• - Assisting with listing marketing by entering listings, coordinating photography sessions, and preparing launch materials.
• - Supporting social media and digital marketing initiatives.
• - Ensuring all documentation and marketing outputs are free of errors.
• - Actively identifying inefficiencies and streamlining workflows to improve operational effectiveness.
• Required Qualifications:
• - A minimum of 3 years of experience in real estate transaction coordination, particularly with contract-to-close management.
• - Proven experience in managing end-to-end real estate listings from pre-listing through to launch and subsequent follow-ups.
• - Proficient in using Compass CRM for effective contact and database management.
• - Familiarity with real estate transaction and contract tools such as DocuSign, Dotloop, SkySlope, Glide, and Google Drive.
• - Experience with email marketing platforms like HubSpot and Mailchimp (or similar tools).
• - Exceptional attention to detail regarding contracts, disclosures, and compliance documents.
• - Experience in coordinating with real estate stakeholders, including clients, agents, escrow/title professionals, and vendors, to manage transaction timelines and milestones.
• - Professional proficiency in English for effective communication with clients and agents.
• - Experience in handling confidential client information in line with brokerage confidentiality and compliance standards.
• - Availability to work during US business hours (Pacific and/or Central Time).
• - A reliable computer and internet connection suitable for full-time remote work.
