Virtual Administration, Bookkeeping Assistant

This is a fully remote position, open to applicants in South Africa.

📋 Description

• Oversee daily email inboxes and promptly reply to both clients and team members.

• Organize and manage login details, folders, documents, and expense tracking systems.

• Schedule or modify appointments in **Clinko**.

• Timely dispatch receipts to clients.

• Compile weekly staff update documents and individual clinician reports.

• Assist in ordering supplies and making one-off purchases online.

• Sustain organized systems for company administration and documentation.

• Update daily bookkeeping records in **Xero**.

• Monitor incoming and outgoing revenue.

• Refresh daily cash flow waterfall reports.

• Generate and send corporate and podcast invoices.

• Track payments through **Stripe** and bank accounts.

• Follow up on overdue invoices and ensure proper tracking of payments.

• Maintain accurate and organized financial records.

• Create monthly corporate statistics and reports.

• Facilitate smooth daily operations throughout the company.

• Assist the management team with administrative tasks.

• Identify opportunities to enhance systems, efficiency, and organization.

• Communicate professionally with clients, staff, and external partners.

• Highly organized and detail-oriented.

• Strong background in administration and systems management.

• Proficient in using bookkeeping and finance software.

• Exceptional communication and email management skills.

• Proactive, independent, and dependable.

• Trustworthy and professional demeanor.

• Capable of multitasking and prioritizing effectively.

• Confident in working remotely.

• Proficient in both spoken and written English.

• Comfortable with regular communication using **WhatsApp voice notes**.

• Positive, solution-oriented, and flexible.

• Experience with any of the following is advantageous:

• Xero

• Stripe

• Clinko

• Google Drive & Google Docs

• Microsoft Office

• Virtual administration roles

• Bookkeeping or accounts administration

• Healthcare, clinic, or service-oriented businesses
