VFX Production Coordinator

This is a fully remote position, open to applicants in New York.

📋 Description

• Schedules, prioritizes, and monitors internal technical tasks and project specifics.

• Organizes daily meetings, rounds, and project discussions; prepares and arranges meeting rooms/media.

• Maintains daily updates on Shotgun (project management software) statuses, task assignments, and project scope.

• Coordinates and packages shot deliveries, including submission documentation.

• Ensures clarity among team members regarding daily deliverables; manages calendar and records all notes from clients, dailies, and rounds.

• Communicates updates to the team and comprehends project priorities.

• Coordinates and oversees multiple projects simultaneously.

• Prepares documentation and reports; tracks and manages tasks effectively.

• Communicates any schedule adjustments to relevant stakeholders and escalates issues to Supervisors/Producers when necessary.

• Follows up on approved and completed tasks to ensure timely and accurate delivery.

• Establishes quality control measures and project closure procedures.

⛳️ Requirements

• Over 5 years of experience in the VFX or film production sector.

• Intermediate to expert proficiency with Shotgrid/Flow; responsible for setting up, updating, and maintaining projects.

• Intermediate to advanced skills in Google Suite.

• Proven project management experience in VFX, demonstrating the ability to solve problems effectively in a dynamic environment.

• Strong ability to engage and collaborate with clients, artists, and producers.

• Proven capability to tackle technical workflow challenges, including directory structures, file formats, naming conventions, scripts, and automation tools.

• A comprehensive understanding of television/episodic VFX production pipelines (knowledge of feature film processes is a plus).
