This is a fully remote position, open to applicants in Philippines.
• Respond to inbound calls from patients and assist with their inquiries.
• Offer appointment reminders and support for scheduling.
• Engage with patients in a professional and empathetic manner.
• Enhance patient responsiveness and minimize missed calls.
• Accurately document patient communications in the designated system.
• Aid in clinical documentation and patient charting within the EHR.
• Keep patient records and documentation up to date and accurate.
• Record patient interactions, communications, and follow-up details.
• Assist providers with administrative tasks related to documentation.
• Review documentation for thoroughness and accuracy.
• Maintain organized clinical records while adhering to established workflows.
• Handle patient information in compliance with confidentiality and HIPAA regulations.
• Verify insurance eligibility and benefits using Availity and payer portals.
• Support workflows for prior authorizations and insurance follow-ups.
• Document insurance and authorization details appropriately.
• Manage appointment scheduling and coordinate calendars.
• Assist with processing referrals and follow-up workflows for patients.
• Keep scheduling and referral documentation organized.
• Support administrative tasks related to billing.
• Facilitate coordination for medication refills.
• Maintain organized documentation and communication processes.
• Assist with other administrative responsibilities as practice needs change.
• Prioritize patient communication and management of phone calls.
• Provide support for insurance verification and prior authorization tasks.
• Coordinate scheduling, clinical charting, documentation, referrals, and administrative workflows.
• Prior experience in healthcare administration, patient coordination, or behavioral health support.
• Experience in managing patient communications, scheduling, insurance verification, and administrative workflows.
• Strong reliability and consistent attendance record.
• Professional, empathetic, and patient-centered communication abilities.
• Capacity to multitask and efficiently manage a high volume of administrative work.
• Comfortable working independently with minimal supervision.
• Excellent organizational skills and keen attention to detail.
• Ability to communicate clearly and professionally with both patients and providers.
• Comfortable handling sensitive patient information while maintaining confidentiality.
• Must be able to communicate effectively in English, both verbally and in writing.
• Relevant work experience is required.
• Must be able to provide an NBI Clearance and/or Local Police Clearance prior to onboarding.
• Availability for video meetings with the camera on when required.
• Access to a reliable laptop or desktop computer.
• Stable high-speed internet connection, with a minimum of 25 Mbps.
• Noise-canceling headset is required.
• A working webcam is necessary.
• Must have a quiet and professional work environment.
• Experience in mental health or behavioral health practice is highly preferred.
• Clinical documentation and charting experience is highly preferred.
• Familiarity with EHR/EMR systems, preferably Practice Fusion.
• Experience with Availity, RingCentral, and Microsoft Teams is strongly preferred.
• Knowledge of behavioral health terminology and documentation workflows is advantageous.
• Experience with insurance eligibility and benefits verification, prior authorization processing, referral coordination, and medication refill coordination is necessary.
• Experience supporting multiple healthcare providers in a busy practice is valuable.
• Previous experience with a U.S.-based healthcare organization is required.
