This is a fully remote position, open to applicants in Connecticut.
• Manage all facets of travel planning and execution.
• Secure and oversee hotel room blocks for parents while coordinating accommodations for coaches of more than 35 NEVBC girls and boys club teams.
• Ensure adherence to stay-to-play regulations.
• Collaborate with tournament housing firms, hotels, and event organizers to satisfy the club's travel requirements.
• Assist families by providing access to room blocks and ensuring that housing commitments are met.
• Maintain and regularly update the NEVBC Travel web page.
• Ensure that tournament details, booking links, deadlines, travel instructions, and other resources remain precise and current throughout the season.
• Act as the main point of contact for travel-related inquiries and communicate frequently with families regarding booking deadlines, room blocks, and travel updates.
• Provide prompt support and solutions in the event of travel-related challenges.
• Collaborate closely with Program Directors to keep tournament schedules and coach attendance information accurate.
• Organize all coach travel arrangements across programs, including hotel bookings, flights, and additional transportation as needed.
• Aid in staffing logistics by tracking coaching assignments and ensuring suitable travel accommodations are secured.
• Monitor travel budgets and keep track of expenses.
• Process coach stipends and reimbursements for expenses.
• Identify opportunities for enhancing efficiency.
• Offer travel and budget summaries to club leadership and assist in planning for future seasons.
• Maintain current travel records, contracts, confirmations, and other necessary documentation.
• Support the development and execution of travel policies and procedures that foster the club's continued growth and operational success.
• Exceptionally strong organizational and project management capabilities.
• Outstanding written and verbal communication abilities.
• Capacity to manage multiple deadlines concurrently.
• Proficient in Google Workspace, Microsoft Office, and spreadsheet management.
• Keen attention to detail and effective problem-solving skills.
• Ability to work autonomously while collaborating with club leadership.
• Excellent customer service skills and aptitude for working effectively with families, coaches, vendors, hotels, and tournament organizers.
• Ability to stay calm, responsive, and solution-oriented when addressing last-minute travel modifications or unforeseen issues.
• Previous experience in event planning, travel coordination, hospitality, or sports management is preferred.
