This is a fully remote position, open to applicants in Canada.

📋 Description

• Oversee the documentation flow from agents to the office, solicitors, and other real estate firms involved in contracts.

• Manage deal files from the initial entry to closing, and process listing contracts when necessary.

• Examine contracts and associated documents in Skyslope.

• Conduct data entry into BackOffice, calculate commissions, and verify MLS data.

• Handle residential, commercial, lease, service/fee agreement, referral, and cancellation transactions.

• Request any missing documentation from agents and ensure all required documents are present before closing.

• Follow up with agents on outstanding paperwork and escalate concerns to a managing broker when necessary.

• Generate Trade Records and distribute copies to agents.

• Confirm deposit information and ensure timely deposit of client funds into the trust account.

• Provide clear instructions, invoices, and paperwork to solicitors and external brokerages.

• Report unresolved issues to the Provincial Transaction Team Lead and adhere to Team Lead protocols.

• Maintain conveyance email accounts and address inquiries from agents, staff, and external parties.

• Ensure files receive final approval from the Provincial Administrator Broker when applicable.

• Collaborate with the payouts department to manage lawyer payments and commission releases.

• Participate in orientation, FINTRAC training, team meetings, provincial and national meetings, and monthly training sessions.

• Promote technology adoption, agent empowerment, and digital innovation throughout the province.

• Advocate for the use of Skyslope, Slack, CRM of Choice, My eXp, and other key platforms.

• Work with technology and training teams on technology implementations.

• Track agent adoption metrics, identify pain points, and propose solutions.

• Provide frontline assistance with transactions, system navigation, and technology compliance workflows.

• Lead or co-facilitate provincial training sessions and maintain a resource library or knowledge base.

• Serve as a liaison between field operations and national technology teams, participating in innovation pilots.

• Communicate regularly with team members and supervisors via email, instant messaging, video conferences, and other channels.

• Attend virtual meetings, offer progress updates, and engage in discussions.

• Complete assigned projects accurately, manage workload and deadlines, collaborate remotely, and respond during designated working hours.


⛳️ Requirements

• High school diploma required or equivalent years of relevant experience.

• Minimum of 2 years of experience in real estate transaction processing required.

• Strong computer skills are essential.

• Real estate or legal conveyancing experience is highly preferred.

• Basic understanding of Canadian real estate transaction requirements and provincial processes.

• Familiarity with G-Suite, Skyslope, LoneWolf (BackOffice), and HubSpot is an asset.

• Capable of processing 200–300 transactions within the workflow.

• Ability to manage an average of 35 new deals per week within assigned boards.

• Proficient in G Suite required; experience with Microsoft Office is a plus.

• Designated home-office/work space required.

• Adaptability and willingness to use online platforms and software for remote work.

• Strong attention to detail.

• Exceptional written and verbal communication and customer service skills.

• Professional telephone etiquette.

• Strong critical thinking and problem-solving abilities.

• Capacity to build relationships with agents, lawyers, notaries, and managing brokers.

• Ability to perform under tight deadlines and in a dynamic environment.

• Conflict resolution and active listening capabilities.

• Ability to manage individual tasks while collaborating in a team setting.

• Experience in the real estate sector is strongly preferred.

• Experience in coordinating events and group activities.

• Must remain adaptable when the designated board or transaction range changes.
