This is a fully remote position, open to applicants in Florida, +3 more states.
• Assist senior Event Managers in the planning and execution of both internal company events and external client-oriented events.
• Provide supplementary support for trade shows as necessary.
• Take the lead in organizing smaller Tier 3 events from the planning phase through to on-site execution.
• Conduct research to identify event venues, vendors, gifting options, and branding materials; prepare summaries and presentation documentation.
• Oversee vendor onboarding, contract management, and payment tracking processes.
• Aid in the setup of registration, attendee communications, and on-site registration utilizing event management platforms.
• Verify attendee manifests, registration data, and hotel rooming lists for accuracy and thoroughness.
• Manage logistics for transportation, shipping, setup, teardown, and overall on-site event operations.
• Travel to event locations as needed.
• Assist Event Managers and Attendee Managers throughout all phases of events.
• Help with budget monitoring and reporting, raising any discrepancies or issues as they arise.
• Gather and organize post-event feedback and support in reporting and evaluations.
• Foster communication between internal teams, vendors, and event partners.
• Bachelor’s degree or equivalent experience related to the role.
• At least 5 years of experience in event planning, event operations, or event coordination roles.
• Proficient in event management, registration, and budgeting tools, particularly Cvent.
• Familiarity with operational workflows for internal events, external client-facing events, and trade shows.
• Understanding of contracts, payment processes, vendor coordination, and on-site logistics.
• Capability to manage multiple support tasks, timelines, and priorities concurrently.
• Experience collaborating with vendors and internal teams on contracting and payment procedures.
• High accuracy in handling registration data, attendee lists, rooming lists, and financial documents.
• Excellent written and verbal communication skills.
• Competence in creating internal presentations and providing updates to stakeholders.
• Basic experience in supporting event budget tracking and reconciliation.
• Ability to adapt to shifting priorities and on-site requirements in a dynamic event environment.
• Willingness and availability to travel approximately 50% of the time, including for international trips.
• CMP certification is preferred but not mandatory.
