This is a fully remote position, open to applicants in United States.
• Provide daily administrative assistance to the Solutions team and program manager, which includes scheduling, meeting preparation, note-taking, and follow-ups.
• Coordinate various programs and projects by monitoring tasks, timelines, action items, and updates.
• Act as a point of contact for incoming requests by logging, prioritizing, resolving, and routing them appropriately.
• Prepare, format, and organize documents, reports, presentations, as well as manage shared files and trackers.
• Oversee team applications and tools, including CMS, ClickUp, CRM, and collaboration platforms.
• Manage user access, routine configurations, tool requests, and basic troubleshooting activities.
• Ensure accurate data management across systems and verify integrations and tracking.
• Identify opportunities for minor workflow improvements and automations.
• Coordinate web requests and updates from the planning phase through to launch.
• Manage stakeholder timelines, priorities, owners, dependencies, and deadlines effectively.
• Ensure that contributors have the necessary assets, copy, designs, and access required for their tasks.
• Monitor web work, highlight risks and blockers, and keep stakeholders informed.
• Create and maintain process documentation, templates, runbooks, and an internal knowledge repository.
• Assist in onboarding and supporting teammates on tools and standardized processes.
• 2–4 years of experience in administrative, operations, program coordination, or a generalist support role.
• Exceptional organizational skills with the ability to manage multiple tasks, requests, and deadlines simultaneously.
• Demonstrated ability to coordinate work among team members, negotiate timelines, track dependencies, and follow through to completion.
• Comfort in administering or configuring SaaS tools such as CMS, project management software, CRM, and collaboration platforms.
• Basic understanding of web content and project workflows, including CMS, assets, and design/development handoffs.
• Strong attention to detail with a proactive, service-oriented problem-solving approach.
• Excellent written and verbal communication skills with both technical and non-technical partners.
