This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee, diagnose, and sustain active workflows, automations, and sequences.

• Guarantee that pipelines are organized, precise, and devoid of outdated opportunities.

• Uphold naming conventions throughout workflows, tags, custom fields, and pipelines.

• Review and eliminate obsolete workflows and automations.

• Construct and adjust funnels, landing pages, forms, redirects, and CTAs.

• Create new workflows with a comprehensive understanding of trigger logic and business outcomes.

• Manage integrations between GHL and outside systems.

• Supervise task management and member assignment boards.

• Ensure that ownership, statuses, and workflows are accurate and up-to-date.

• Develop and sustain Monday.com automations, including reminders, recurring tasks, and status triggers.

• Upload meeting notes and action items using established processes.

• Track task completion and escalate overdue items as needed.

• Maintain collections, installment records, and commission tracking systems.

• Compile weekly sales and marketing reports from various sources.

• Build and manage leadership dashboards.

• Oversee reporting structures, formulas, and data organization.

• Ensure accurate tracking and presentation of key business metrics.

• Research content topics, industry trends, competitor activities, and market insights.

• Draft content frameworks, short-form video scripts, and content calendars.

• Leverage AI tools to aid in content planning and ideation.

• Schedule and publish approved content across diverse social media platforms.

• Support content consistency through effective planning and execution.

• Design, create, and maintain AI-powered business systems.

• Develop Claude Projects, ChatGPT workflows, and AI-assisted operational tools.

• Construct multi-step AI workflows that automate repetitive business functions.

• Create AI agents that process inputs and generate structured outputs.

• Organize company knowledge, SOPs, frameworks, and internal documentation for AI utilization.

• Continuously enhance AI systems as business needs evolve.

• Monitor and moderate comments on Meta ads.

• Escalate issues when necessary.

• Maintain positive engagement and ensure compliance with moderation guidelines.

• Assist with strategic projects, including:

• - Development of an Internal Knowledge Base

• - Automation of recruitment and hiring funnels

• - Implementation of an evergreen coaching program

• - Creation of AI-powered sales review and training systems

• - Establishment of AI content generation systems

• - Monitoring systems for client retention and engagement

• - Automation of sales call scoring

• - Process mapping and workflow visualization


⛳️ Requirements

• Over 3 years of experience in operations, systems administration, automation, or technical virtual assistant roles.

• Strong practical experience with GoHighLevel (GHL).

• Familiarity with Monday.com for project and workflow management.

• Advanced skills in Google Sheets, including formulas and reporting.

• Experience with automation tools such as Zapier, Make, or similar platforms.

• Comprehensive understanding of AI tools including Claude and ChatGPT.

• Experience in building AI workflows, automations, or AI-powered business systems.

• Capability to manage multiple projects independently.

• Strong analytical and problem-solving skills.

• Exceptional organizational and communication abilities.

• Experience working remotely with international teams.

• **Required experience with:**

• - ChatGPT

• - Zapier, Make, or equivalent automation tools

• - Meta Business Suite

• - Fathom (or similar meeting transcription platforms)

• **Nice to Have:**

• - Experience in creating reporting dashboards and business intelligence systems.

• - Familiarity with Fathom or similar meeting transcription tools.

• - Experience with Meta Business Suite moderation.

• - Knowledge of sales processes, coaching businesses, or client service environments.

• - Experience in creating process maps, flowcharts, and operational documentation.

• - Exposure to CRM implementation and integration projects.
