• Facilitate interviews across various time zones, involving stakeholders from the US and EMEA.
• Assist in employer branding efforts, including careers pages, LinkedIn job promotions, employee referral initiatives, and recruitment marketing activities.
• Oversee candidate communications throughout the recruitment process.
• Organize interviews, feedback sessions, and meetings for the hiring team.
• Ensure a smooth and professional candidate experience from the application stage to the offer stage.
• Maintain precise candidate records within the Applicant Tracking System (ATS).
• Aid in offer generation, onboarding processes, and compliance with recruitment-related regulations.
• Coordinate offer approvals and prepare necessary offer documentation.
• Monitor recruitment activities and guarantee the efficiency of hiring workflows.
• Create recruitment dashboards, identify hiring patterns, and highlight opportunities for enhancing recruitment efficiency.
• Provide support to recruiters and hiring managers with daily recruitment operations.
• Manage confidential information related to candidates and employees.
• Cultivate trusted relationships with hiring managers and offer guidance on recruitment processes, timelines, and best practices.
• Collaborate with HR, People Operations, Legal, Finance, IT, and hiring managers to advance hiring initiatives.
• Ensure that recruitment documentation aligns with GDPR and relevant employment laws across hiring jurisdictions.
• Keep ATS data, candidate records, requisitions, and hiring workflows accurate and up-to-date.
• Offer first-line ATS support and advice to hiring managers.
• Collect feedback and suggest enhancements to the recruitment experience.
• Assist with recruitment policies, procedures, best practices, process improvements, system upgrades, and recruitment projects.
• Contribute to enhanced recruitment reporting, workflows, and operational efficiency.
• At least 2 years of professional experience in recruitment coordination, recruitment administration, talent acquisition support, recruitment agency operations, or HR administration with recruitment exposure.
• Strong organizational and administrative abilities with exceptional attention to detail.
• Excellent written and verbal communication skills.
• Experience in managing multiple priorities in a dynamic environment.
• Proficiency in Microsoft Office and recruitment systems/ATS platforms.
• Strong customer service orientation and the ability to build relationships with candidates and stakeholders.
• Comfortable working across various time zones and collaborating with international teams.
• Highly organized with the ability to prioritize conflicting deadlines.
• Possess a problem-solving mindset.
