System Administrator

This is a fully remote position, open to applicants in California.

📋 Description

• Manage projects effectively.

• Lead cross-company initiatives from start to finish, including scoping, timelines, stakeholder engagement, and delivery.

• Convert the strategic priorities of leadership into actionable project plans with designated owners and deadlines.

• Ensure multiple workstreams progress simultaneously without oversight.

• Identify obstacles early and facilitate their resolution.

• Oversee systems management (Notion, GHL, Canopy, etc.).

• Design and sustain our Notion workspace, including databases, dashboards, SOPs, and project trackers.

• Create and enhance GoHighLevel workflows, pipelines, automations, and integrations.

• Assess and implement new platforms as needed by the business (Make, Zapier, Airtable, internal tools).

• Thoroughly document all processes to ensure team usability of your creations.

• AI Integration.

• Recognize workflows that are suitable for AI automation within client work, internal operations, and customer service.

• Develop and engineer AI agents, GPTs, and Claude projects for routine tasks.

• Stay updated on LLM tools (Claude, ChatGPT, Gemini, n8n, Zapier AI) and apply relevant insights.

• Integrate AI as a force multiplier within every system you design, rather than treating it as a standalone initiative.

• Data & Reporting.

• Create and manage dashboards that provide leadership with clear insights into the performance of each operating company (Tax Alchemy, DMG, etc.).

• Establish key performance indicators (KPIs) for each business unit and define the reporting frequency (weekly scorecards, monthly business reviews, quarterly leadership presentations).

• Extract, clean, and consolidate data from various platforms (Notion, GHL, QuickBooks, spreadsheets, internal tools) into a unified source of truth.

• Utilize appropriate tools for specific tasks — Google Sheets and Excel for quick iterations, and BI tools (Looker Studio, Metabase, or similar) for comprehensive reporting.

• Transform data into actionable insights: highlight trends, identify anomalies, and provide recommendations — not just dashboards.

⛳️ Requirements

• 3-5 years of experience managing systems in a small to mid-sized company (professional services, agency, or SaaS).

• Strong proficiency in Notion and GoHighLevel.

• Expertise in using, prompting, and creating workflows with AI LLMs such as ChatGPT and Claude.

• Comfortable constructing dashboards, analyzing spreadsheets, and interpreting data.

• Preferred background in tax, accounting, or financial services operations.

• Experience with intercompany or shared services structures is highly desirable.
