This is a fully remote position, open to applicants in District of Columbia, +2 more states.
• Assist in the preparation, management, and conclusion of agreements with subcontractors and other business partners that support PSI’s federal government contracts and corporate operations.
• Oversee the documentation of subcontracts throughout their entire lifecycle, which includes Non-Disclosure Agreements (NDAs), Teaming Agreements (TAs), subcontract agreements, subcontract task orders, purchase orders, modifications, and closeout documents.
• Collaborate closely with Contracts, Program Management, Business Development, Finance, Accounting, Accounts Payable, and various other internal stakeholders, in addition to subcontractor representatives.
• Maintain records of subcontracts in TechnoMile and create and manage related purchase order information in Deltek, ensuring that funding, performance periods, contractual terms, and other essential data are complete, accurate, and consistent across both systems.
• Apply sound judgment when managing contractual and financial information and handle multiple transactions without compromising accuracy or responsiveness.
• Communicate directly with subcontractors to gather necessary information, address administrative inquiries, coordinate signatures, and facilitate the timely execution of agreements.
• Monitor subcontract funding, ceilings, performance periods, option periods, deliverables, modifications, and other significant administrative milestones.
• Supervise pending documents, approvals, signatures, and subcontractor responses, following up with responsible parties to avert processing delays.
• Support internal reviews, customer inquiries, financial audits, incurred-cost activities, and preparation for Contractor Purchasing System Review by locating and organizing subcontract records.
• A Bachelor’s degree in Business Administration, Contract Management, Supply Chain Management, Finance, Accounting, or a related field.
• Additional relevant experience may be accepted as a substitute for the degree requirement.
• A minimum of three (3+) years of experience in subcontract administration, procurement, purchasing, contract administration, or a related area.
• Experience in supporting a federal government contractor or managing agreements linked to federal contracts.
• Proven experience in preparing and managing several of the following: NDAs, Teaming Agreements, Subcontract agreements, Task orders, Purchase orders, Modifications, and Closeout documentation.
• Familiarity with federal subcontract administration concepts, such as contractual flow-downs, funding controls, performance periods, subcontract types, and documentation requirements.
• Experience in entering and maintaining purchase orders in Deltek Costpoint or a similar enterprise resource planning or accounting system.
• Exceptional attention to detail and the capability to identify discrepancies among agreements, modifications, purchase orders, funding records, and system data.
• Strong organizational skills, along with document management and recordkeeping abilities.
• Proficient in Microsoft Word, Excel, Outlook, Teams, and Adobe Acrobat.
• Must possess legal authorization to work in the United States.
