This is a fully remote position, open to applicants in United States.
• Oversee active calendars, manage appointments, process expense reports, handle correspondence, and organize travel plans, itineraries, agendas, and travel-related documents for senior leadership.
• Ensure adherence to leaders’ schedules, acting as a gatekeeper to effectively manage their time.
• Engage in direct communication on behalf of leaders concerning their initiatives.
• Conduct research, prioritize, and follow up on sensitive or confidential matters, determining the appropriate course of action or response.
• Keep leadership updated on upcoming commitments, responsibilities, and environmental concerns.
• Fulfill essential deliverables, including acknowledgments, correspondence, and various operational support tasks.
• Manage conflicting priorities, proactively address issues, and ensure successful project completion.
• Schedule, plan, and facilitate the seamless execution of large-scale domestic and international meetings.
• Coordinate agendas for senior management meetings, offsites, and staff gatherings.
• Maintain organized and easily accessible documentation.
• Create and enhance PowerPoint and Excel presentations along with relevant data and graphics.
• Arrange, support, and adjust domestic and international travel plans, including visa procurement.
• Schedule meetings, conferences, teleconferences, and travel arrangements.
• Exceptional organizational skills with the ability to prioritize multiple tasks while maintaining excellent attention to detail.
• Strong interpersonal and relationship-building capabilities with staff, board members, and external partners.
• Proficient written and verbal communication skills at an expert level.
• Proactive in problem-solving with robust decision-making abilities.
• Ability to work efficiently both independently and collaboratively within a team.
• Capacity to manage confidential information with the utmost discretion.
• Adaptable to competing demands with a commitment to superior customer/client service.
• Willingness to work additional or non-standard hours as necessary for critical issues.
• Bachelor’s degree or equivalent experience.
• 10–12 years of experience in providing support to C-level executives.
• Advanced proficiency in Microsoft Office applications, including Outlook, Word, Teams, Excel, and PowerPoint.
• Skilled in using Adobe Acrobat and social media platforms.
• Competent in administrative writing and reporting.
• Experienced in scheduling, time management, and logistics for domestic and international travel.
• Familiarity with Concur is preferred.
