• **Role Overview**
• M-Files is seeking a dynamic, execution-focused analyst to act as a key resource within Strategic Operations, aiding in the execution of crucial strategic initiatives across the organization. This role is tailored for an early-career professional who flourishes in a fast-paced environment and has a knack for transforming uncertainty into actionable plans. You will be instrumental in converting ideas, inquiries, discussions, and leadership dialogues into a well-structured program—complete with defined workstreams, responsibilities, timelines, KPIs, baseline metrics, impact assessments, and polished executive communication.** **The Strategic Operations Analyst role demands sound judgment, high dependability, and a proactive approach—ideal for someone who takes pride in driving execution daily, rather than merely conducting analysis.
• **Primary Responsibilities**
• **Transform ambiguity into actionable programs**
• - Convert strategic priorities into defined workstreams, accountable owners, timelines, and deliverables—then ensure they are completed.
• - Establish and maintain a streamlined program structure: operational plans, workback schedules, decision logs, action trackers, and weekly priorities.
• - Identify gaps, risks, and dependencies proactively—and drive resolutions with relevant stakeholders.
• **Manage the operating cadence (calendar, meetings, coordination)**
• - Own the execution rhythm: scheduling, agendas, pre-reads, notes, action items, responsibilities, and deadlines.
• - Ensure meetings are focused on decision-making and outcomes, with clear ownership and deadlines.
• - Maintain alignment between leadership's perceptions and actual progress across teams.
• **Analytics, KPIs, baselines, impact estimates**
• - Develop and uphold KPI definitions and baseline measurement strategies to quantify progress accurately.
• - Conduct hands-on analysis in Excel: data cleaning, modeling, scenario analysis, impact estimation, and performance tracking.
• - Create straightforward measurement systems that make progress transparent and highlight areas of execution delays.
• **Reporting and dashboards (to promote action, not bureaucracy)**
• - Provide consistent operational visibility: what has been delivered, what is progressing, what is blocked, and what needs escalation.
• - Design and maintain dashboards and reporting outputs (Excel / PowerPoint, and applicable BI tools) that facilitate quick decision-making.
• - Utilize reporting as a mechanism to drive action and accountability, rather than as the final product.
• **Communication tailored for executives (PowerPoint and structured writing)**
• - Produce high-quality, executive-ready PowerPoint presentations: updates, operational reviews, decision documents, and strategic summaries.
• - Write clear, concise summaries that distill complex information into “what matters / what has changed / what are the next steps.”
• - Assist leadership in preparing for key meetings and reviews with briefs, agendas, objectives, and follow-up actions.
• **Expected Outcomes (measuring success)**
• - Strategic priorities transition consistently from concept → planning → execution → measurable results.
• - Cross-functional teams are synchronized, obstacles are escalated early, and commitments are fulfilled reliably.
• - The operational rhythm is disciplined: clear priorities, defined owners, explicit next steps, and consistent follow-through.
• - Leadership enjoys reliable visibility into progress and performance as execution is effectively managed week after week.
• **Essential Qualifications**
• - 1–4 years of experience in a results-driven environment (e.g., business operations, consulting, investment banking, strategy & operations, program support, GTM operations, analytics)
• - Proficient in Excel (analysis, modeling, adept at handling imperfect data)
• - Strong PowerPoint skills (capable of creating clean, executive-ready presentations swiftly with meticulous attention to detail)
• - Exceptional written communication abilities: concise, structured, and focused on action.
• - Strong sense of ownership and reliability; you take pride in consistent execution and follow-through.
• - Highly organized and capable of managing multiple threads without losing track of details.
• **Preferred Qualifications (nice to have)**
• - Experience in supporting operational rhythms (weekly business reviews, QBRs, operational assessments).
• - Familiarity with dashboards / BI tools (Power BI, Tableau) and/or basic SQL.
• - Exposure to SaaS business models, pricing/packaging strategies, or cross-functional transformation projects.
• **Recruitment Process Participation:**
• - Initial Screening with a People & Culture Team Member
• - Meeting with the Hiring Manager (SVP, Strategic Operations & Corporate Development)
• - Engagement with Additional Internal Stakeholder(s)
• **Estimated Time Investment for Applicants in Recruitment Process: ~Approx. 3 hours*
