📋 Description

• Take full responsibility for the comprehensive planning and execution of Horizon3.ai's annual Sales Kickoff and Company Kickoff, which includes venue selection and contracting, agenda development, speaker management, AV and production, attendee logistics, and on-site execution.

• Collaborate with Sales Leadership, Revenue Operations, and People to ensure SKO programming aligns with go-to-market priorities, product launches, and enablement goals, making certain the event serves a strategic purpose, rather than just being motivational.

• Work alongside Executive Leadership and Marketing on CKO programming and messaging, effectively translating company strategy and cultural priorities into a unified and engaging experience for the entire company.

• Oversee all vendor relationships pertaining to SKO and CKO, including venues, hotels, AV and production firms, catering, entertainment, and travel coordination, all while maintaining a disciplined budgetary focus and prioritizing quality over extravagance.

• Develop and sustain a comprehensive project plan for each program, identifying clear owners, milestones, and dependencies to ensure timely execution and clear stakeholder updates.

• Manage post-event surveys and debrief processes, gathering attendee feedback and providing actionable insights to leadership for future program enhancements.

• Handle the complete lifecycle of Horizon3.ai's President's Club program, from selecting destinations and vendor contracting to on-site execution and post-trip recognition.

• Collaborate with Sales Leadership and Revenue Operations to align eligibility criteria, attendee lists, and program timing with the annual sales calendar.

• Manage all logistics comprehensively, including destination research and selection, hotel and venue contracting, air and ground travel coordination, activity programming, dining experiences, and on-site event management.

• Ensure the President's Club experience signifies the seniority and achievements of attendees, with every detail reflecting that this is a reward program rather than a work trip.

• Oversee Horizon3.ai's external User Conference—a flagship customer-facing event that unites the NodeZero user community for product education, customer stories, best practices, and relationship building.

• Lead the strategic program design in partnership with Product Marketing, Customer Marketing, and Customer Success to ensure the agenda is tailored to actual customer needs and desires, rather than solely focusing on internal presentations.

• Manage all conference logistics, including venue selection and contracting, speaker management, sponsorship coordination, registration, AV and production, signage and branding, catering, and overall attendee experience from arrival to conclusion.

• Collaborate with demand generation and field marketing to incorporate pre-event promotion, registration campaigns, and post-event follow-ups into the expansive marketing strategy.

• Ensure the User Conference reinforces Horizon3.ai's enterprise brand positioning, leaving attendees with a heightened sense of community, product confidence, and loyalty.

• Provide operational support to the broader events team for Horizon3.ai's tier 1 field event presence, such as Black Hat and RSAC, as capacity permits and as prioritized by the Director of Field Marketing.

• Support may encompass vendor coordination, booth logistics, shipping, on-site execution assistance, and stakeholder coordination for executive appearances or speaking engagements at major conferences.

• Manage the budget for all programs under your purview, overseeing expenditures with a quality-first, waste-averse approach while maintaining accurate and current budget tracking at all times.

• Lead all vendor negotiations and contracting for flagship programs, including venues, hotels, AV and production companies, travel management firms, gifting and swag vendors, and entertainment partners.

• Cultivate and maintain a preferred vendor network across key event categories to ensure Horizon3.ai is not starting from scratch with each program cycle.

• Ensure all contracts undergo appropriate legal and financial review processes before any commitments are made.

• Manage relationships with senior stakeholders across Sales, RevOps, People, Executive Leadership, Product, Customer Success, and Marketing, clearly setting expectations regarding timelines, deliverables, and decision points, while following through proactively.

• Prepare and deliver program updates to leadership at regular intervals, addressing timeline status, budget pacing, key decisions required, and potential risks on the horizon.

• Navigate competing priorities and strong opinions from senior stakeholders with professionalism, clear communication, and a focus on decision-making and progress.


⛳️ Requirements

• A minimum of 7 years of experience in corporate events, conference management, or experiential marketing, with direct ownership of large-scale, multi-day, multi-stakeholder programs.

• A proven history of planning and executing internal flagship events such as SKO, Sales Kickoff, or their equivalents, with complete ownership from strategy development through on-site execution.

• Experience in designing and executing large-scale customer-facing conferences or user summits, encompassing agenda development, speaker management, registration, and on-site production.

• Experience managing President's Club or similar incentive travel programs, including destination selection, vendor contracting, and high-touch attendee experience management.

• Exceptional project management skills, capable of building and managing complex, multi-workstream project plans across various programs running concurrently without losing detail or momentum.

• Strong vendor management and negotiation capabilities, with experience in contracting with venues, hotels, AV and production companies, and travel management firms at significant scale.

• Highly organized with keen attention to detail, favoring documentation, process adherence, and proactive communication.

• Demonstrated ability to manage executive stakeholders, setting clear expectations, delivering challenging updates as necessary, and navigating competing priorities without losing momentum.

• Comfortable working in a fully remote, fast-paced environment and willing to travel on-site for program execution.

• Excellent written and verbal communication skills, capable of briefing executives, aligning cross-functional teams, and clearly conveying program status at all organizational levels.
