
Staff Accountant – Special Projects

This is a fully remote position, open to applicants in United States.
• Assess vendor invoices to ensure adherence to grant terms and internal standards.
• Input invoices into NetSuite and verify that all necessary supporting documentation is included.
• Manage accounts payable invoices in accordance with JFF policies and designated timelines.
• Execute weekly check runs to facilitate prompt vendor payments.
• Address payment discrepancies and handle vendor inquiries effectively.
• Supervise the accounts payable email account, responding to JFF staff and vendor communications.
• Process online payments via vendor portals and ensure timely entries in the accounting system.
• Handle journal entries in NetSuite, including those pertaining to online payments.
• Maintain vendor records, including W-9 documentation and ACH payment information.
• Foster and maintain relationships with both internal staff and external vendors.
• Update vendor contract details and monitor outstanding payments against approved agreements.
• Process Forms 1099 for qualifying vendors.
• Collaborate with program staff and the Grant Management team to secure invoice approvals.
• Facilitate information exchange between JFF and the Prime organization, including regular payment reporting.
• Assist with cash requests from Prime and drawdowns from the payment management system, ensuring proper reviews and approvals.
• Collaborate with Contracts and Grant Stewards teams to ensure compliance with procurement policies.
• 3 to 5 years of relevant experience in accounts payable within a fast-paced environment.
• Experience with federal grants is preferred.
• Proficient in Microsoft Excel, Microsoft Word, and various database applications.
• Familiarity with accounting software like NetSuite is advantageous.
• Experience with nonprofit organizations or in cost accounting is beneficial.
• Understanding of general accounting principles and practices.
• Excellent organizational, analytical, and problem-solving abilities.
• Strong written and verbal communication skills.
• Ability to juggle multiple priorities, work under pressure, and meet tight deadlines.
