This is a fully remote position, open to applicants in New York.
• Take charge of comprehensive speaker logistics for events, encompassing onboarding, communication, travel arrangements, and on-site assistance.
• Act as the main point of contact for speakers, ensuring a professional and high-quality experience from the moment of confirmation through to post-event follow-up.
• Organize travel logistics (flights, accommodations, ground transportation) in accordance with budgetary constraints and company policies.
• Oversee speaker schedules, session specifics, and rehearsal timelines to guarantee seamless program execution.
• Collaborate cross-functionally with programming, marketing, production, and operations teams to ensure alignment on speaker requirements and event specifications.
• Maintain accurate records of speakers, including contracts, biographies, headshots, and presentation materials.
• Ensure timely collection and assessment of speaker deliverables (presentations, audiovisual needs, special requests).
• Proactively anticipate and address logistical challenges, both prior to the event and on-site.
• Assist with on-site execution, including speaker check-in, green room management, and session transitions.
• Track budgets associated with speaker travel and logistics, identifying opportunities for cost savings whenever possible.
• Continuously enhance speaker processes, tools, and communications to improve efficiency and overall experience.
• A minimum of 3 years of experience in event operations, conference production, speaker management, or a related domain.
• Demonstrated experience in managing logistics for multi-speaker programs, preferably within B2B or large-scale conferences.
• Proven ability to juggle multiple projects and meet deadlines in a fast-paced setting.
• Excellent organizational skills with a keen eye for detail and a commitment to follow-through.
• Self-driven, strategic thinker with a collaborative, solution-focused mindset.
• Familiarity with Swoogo and Sessionboard is advantageous.
• Outstanding organizational, project, and time management capabilities with a strong focus on detail.
• Proficiency in the Microsoft Office suite (Word, Excel, and PowerPoint).
• Knowledge of and interest in information security markets is preferred.
• Strong verbal and written communication skills, along with a professional demeanor.
• Ability to lift up to 20 lbs.
• Willingness to travel periodically throughout the year to support on-site event operations.
