This is a fully remote position, open to applicants in United States.
• Map, standardize, and enhance recruiting workflows from start to finish—intake, sourcing, interview loops, offers, and closeout—eliminating bottlenecks and promoting consistency across various regions and functions.
• Establish operating rhythms, service level agreements (SLAs), and clear ownership to ensure hiring managers, recruiters, and candidates experience a predictable, high-quality process.
• Act as the primary administrator and subject matter expert (SME) for the recruiting technology stack—Greenhouse (ATS), Gem (CRM/analytics), BrightHire (interview intelligence), and Guide (candidate experience)—overseeing configuration, permissions, integrations, and troubleshooting in collaboration with IT, while managing vendor relationships.
• Identify and implement automation and AI-driven workflows within the stack to minimize manual tasks and scale recruiting operations without increasing headcount.
• Maintain the accuracy and consistency of recruiting data across Greenhouse and its downstream systems (including transitions to Workday), defining data entry standards and conducting quality audits.
• Develop and sustain dashboards and reports on key funnel and efficiency metrics (e.g., time-to-fill, time-to-hire, pass-through rates, source effectiveness), along with forward-looking analytics that guide hiring strategies.
• Create and maintain playbooks, documentation, templates, one-pagers, and training resources that assist recruiters, coordinators, and hiring managers throughout the entire recruiting lifecycle.
• Onboard and train recruiters and hiring managers on processes and tools; promote adoption of new tools and processes through user-centered change management.
• Collaborate with TA leadership and Finance to facilitate capacity modeling, target setting, and headcount reconciliation using accurate data and reporting.
• Work together with People Systems, IT, and Legal on integrations, security, and process design.
• A minimum of 8 years in Recruiting/Talent Operations, preferably in a high-growth, global, or distributed setting.
• Hands-on experience administering an ATS (Greenhouse is strongly preferred) along with at least one CRM, interview intelligence, or scheduling/candidate experience platform (e.g., Gem, BrightHire, GoodTime, Guide), with proficiency in navigating configurations, permissions, and integrations.
• Strong data fluency—capable of pulling, interpreting, and visualizing recruiting data, translating it into actionable recommendations; advanced spreadsheet skills and familiarity with a BI/reporting tool.
• Excellent program and project management abilities—able to scope, prioritize, and manage cross-functional initiatives to measurable outcomes while overseeing a roadmap amidst competing demands.
• Proven success in leading process improvements and tool implementations that yield measurable enhancements in efficiency or user experience.
• Proficient with automation and AI-driven tools, favoring the use of technology to eliminate manual, repetitive tasks.
• Outstanding communication and stakeholder management skills—able to influence without authority, customize messages for different audiences, and clearly present recruiting data and recommendations to leadership.
• Systems thinking, a strong sense of ownership, and a service-oriented mindset; capable of prioritizing among competing projects and building trust with recruiters, hiring managers, and cross-functional partners.
