Senior Talent Administrator, Coordinator

This is a fully remote position, open to applicants in Germany.

📋 Description

• Deliver senior-level administrative assistance to the talent acquisition process during both pre-hire and post-hire phases.

• Facilitate logistical arrangements and recruitment activities for a designated client program or team.

• Support the recruitment and interview processes.

• Conduct phone interviews and document candidate responses, screening applicants based on job requirements.

• Create interview schedules for qualified candidates.

• Update candidate statuses in the ATS and proprietary recruitment systems.

• Review ATS applicants promptly.

• Schedule intricate phone, video, and in-person interviews.

• Manage the offer process, which includes drafting, routing, and presenting offer letters.

• Coordinate background checks, medical assessments, and reference verifications.

• Organize candidate travel, transport, and accommodation arrangements.

• Oversee onboarding and offboarding procedures.

• Edit and post job openings in the ATS and manage postings across candidate-generation platforms.

• Provide metric and pipeline reporting.

• Lead discussions with candidates and Hiring Managers as necessary.

• Assist with the administration, optimization, and utilization of the ATS.

• Share best practices and propose process enhancements throughout the talent acquisition cycle.

• Document process modifications, including process maps, team structure charts, and detailed procedures.

• Identify and resolve workflow and system challenges.

• Suggest improvements to enhance client and candidate experiences.

• Serve as a subject matter expert and offer training and coaching to less experienced team members.

• Provide additional administrative support to the recruitment team as necessary.


⛳️ Requirements

• High school diploma or equivalent is required.

• Experience with Workday ATS is mandatory.

• A minimum of 3 years of experience in screening or interviewing candidates within the pharma/device/healthcare sector.

• Previous experience in a Talent Acquisition Coordinator role is preferred.

• Experience as a Specialized Talent Administrator & Coordinator for at least 6 months is a plus.

• Strong skill set and competencies in recruitment administration.

• Familiarity with commonly-used concepts, practices, and procedures in talent acquisition.

• Fluent in English.

• Excellent verbal and written communication skills.

• Proven proficiency with the Microsoft Office suite, particularly Outlook.

• Experience with a mainstream ATS is essential.

• Ability to prioritize and organize personal workload effectively.

• Capacity to deliver a high level of customer service to colleagues and clients.
