This is a fully remote position, open to applicants in Portugal.
• Take charge of internal company events as comprehensive projects, overseeing them from inception to completion.
• Develop and sustain project plans, timelines, milestones, stakeholders, and dependencies.
• Collaborate with various teams including People, Marketing, Leadership, Operations, and others.
• Ensure that each event has defined objectives, scope, budget, timeline, responsible parties, and criteria for success.
• Monitor risks, obstacles, and outstanding questions, proactively facilitating their resolution.
• Keep all stakeholders updated on project progress, subsequent steps, and any changes.
• Assist in the planning and execution of internal company events, team gatherings, employee engagement activities, and company-wide functions.
• Collaborate with the team on promotional items, entertainment, internal content, competitions, and employee experience initiatives.
• Oversee the annual Company Offsite.
• Help maintain a transparent annual event calendar, ensuring the team is aware of upcoming priorities.
• Provide support for travel-related requests during US business hours.
• Handle urgent travel approvals and stakeholder inquiries outside of European business hours.
• Ensure that travel-related requests associated with events are addressed promptly and clearly.
• Work with internal stakeholders to address swag-related requirements for events and employee initiatives.
• Support internal communications regarding events, employee experience projects, and company initiatives.
• Ensure that communication is precise, timely, and in alignment with the project plan.
• Utilize AI tools and AI agents to enhance project management, documentation, tracking, and operational workflows.
• Manage AI-assisted workflows while ensuring human oversight, quality assurance, and accountability.
• Assist the team in increasing efficiency by refining processes, templates, and systems.
• A minimum of 5 years of experience in project management, operations, events, people experience, or a related role.
• Proven experience managing complex cross-functional projects from start to finish.
• Familiarity with fast-paced technology companies or remote/distributed teams.
• Ability to navigate ambiguity, shifting priorities, and tight deadlines.
• Exceptional stakeholder management and communication abilities.
• Strong attention to detail and a high level of ownership.
• Proficient in both English and Russian to collaborate effectively with internal stakeholders.
• Availability to work US-aligned hours, specifically from 2:00 PM to 11:00 PM CET.
