This is a fully remote position, open to applicants in California.
β’ Collaborate with the Ops Lead to track and oversee essential team workstreams, ensuring that deadlines, owners, and milestones are well-documented and consistently maintained.
β’ Keep project trackers updated and deliver regular status reports to stakeholders.
β’ Develop and oversee project plans from initiation to delivery with transparency and accountability.
β’ Coordinate interdepartmental dependencies among teams; proactively identify blockers or risks and assist in facilitating their resolution.
β’ Prepare discussion points and agendas for weekly SVP-level meetings.
β’ Document notes, capture decisions, and track action items from leadership meetings.
β’ Compose and distribute executive-facing summaries and follow-up communications.
β’ Facilitate decision-making by providing the necessary context and information prior to meetings.
β’ Lead the quarterly planning process for the team, including timeline oversight, template creation, and the facilitation of planning sessions.
β’ Consolidate team inputs into a unified overview of priorities, capacity, and commitments.
β’ Collaborate with stakeholders to ensure that plans are feasible and aligned with overarching organizational objectives.
β’ Assist in monitoring and managing the team's intake channel, prioritizing incoming requests.
β’ Work with subject matter experts (SMEs) to establish a consistent process for assessing, prioritizing, and routing requests.
β’ Maintain a visible backlog of work to support ongoing planning discussions.
β’ 5-7+ years of experience in project or program management, preferably in a marketing, creative, or brand organization.
β’ Proficiency in Brand Insights, Brand Strategy, Creative Strategy, and Brand Management workstreams.
β’ Excellent communication and organizational abilities, with the capacity to manage multiple complex workstreams at once.
β’ Experience in supporting executive-level stakeholders, including preparing materials and facilitating decision-making processes.
β’ Confident in overseeing a quarterly planning process from start to finish β including timeline establishment, facilitation, and synthesis.
β’ Experience in managing intake and prioritization processes across a team or department.
β’ High level of proficiency with Slack, Google Suite (Slides, Sheets, Docs), and project tracking tools.
β’ Ability to work autonomously, take initiative, and maintain progress without close supervision.
β’ Experience with an agency or in-house creative/marketing team is preferred.
