This is a fully remote position, open to applicants in District of Columbia.
• Provide administrative and operational support to the Chief Policy Officer and senior leadership.
• Manage calendars, schedule meetings, arrange travel, handle correspondence, and coordinate projects.
• Prepare briefing documents, reports, agendas, presentations, meeting minutes, and follow-up communications.
• Maintain electronic filing systems, records, calendars, supplies, and materials.
• Organize Policy Center leadership meetings, work group board meetings, and executive matters.
• Act as a liaison with staff, external partners, vendors, consultants, and stakeholders.
• Process invoices, contracts, expense reports, reimbursements, purchase orders, and other financial documents.
• Monitor budgets, expenditures, project finances, and financial reporting.
• Support grant administration and keep accurate organizational records.
• Plan and execute virtual, hybrid, and in-person meetings and events, including logistics and on-site support.
• Create reports, dashboards, presentations, briefing materials, project trackers, and performance metrics.
• Gather, organize, and analyze information for decision-making and strategic planning.
• Provide customer service and address stakeholder inquiries.
• Utilize AI tools and automation to enhance scheduling, reporting, meeting preparation, document management, collaboration, and productivity.
• Recommend and implement technological solutions while performing other assigned tasks.
• Six years of relevant experience.
• Experience in supporting senior executives or organizational leadership.
• Proficiency in processing financial documents, invoices, contracts, budgets, and expense reports.
• Strong background in event planning and logistical coordination, including on-site event support.
• Advanced skills in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
• Familiarity with project management platforms like Asana, Microsoft Project, or similar systems.
• Experience with financial management software and reporting tools.
• Knowledge of CRM systems such as Salesforce.
• Experience in implementing workflow automation, AI-enabled productivity tools, or knowledge management systems like Microsoft Copilot and Power Automate.
• Background in developing executive-level presentations, reports, and dashboards.
• Proficiency in using AI tools and digital technologies to boost productivity and operational effectiveness.
• Ability to maintain confidentiality and manage sensitive information with discretion.
• Bachelor’s degree in Business Administration, Public Administration, Communications, Operations Management, or a related field, or an equivalent combination of education and experience.
• Must reside within the Washington, DC Metro area.
