Senior Manager – HR Operations, Systems

📋 Description

• **Core Responsibilities**

• **HR Systems & Technology**

• Lead and manage existing People & Culture systems and technology that facilitate the employee lifecycle.

• Ensure optimal utilization, governance, and continuous enhancement of current People & Culture systems and tools.

• Maintain employee data integrity, ensure reporting accuracy, and uphold system governance.

• Collaborate with internal stakeholders to refine operational workflows and enhance the effective application of existing People & Culture systems and technology.

• **Benefits Administration**

• Assist with annual Open Enrollment and ongoing benefits communications.

• Support the management of employee benefit programs, ensuring precision, compliance, and a positive experience for employees.

• Work with the PEO to facilitate the administration of employee benefit programs and address benefit-related concerns.

• **Compensation Support**

• Aid in compensation administration, salary adjustments, market benchmarking, and compensation reporting.

• Contribute to compensation planning and the annual compensation review processes.

• Ensure accuracy of compensation data and reporting.

• **Reporting & Analytics**

• Create and maintain People & Culture reports, dashboards, and workforce metrics.

• Analyze operational trends and provide reports to support informed business decisions.

• Guarantee the accuracy and integrity of People & Culture data.

• **Policies and Documentation**

• Design, draft, implement, and maintain People & Culture policies and standard operating procedures.

• Own and enhance People & Culture documentation, document-retention practices, and supporting infrastructure.

• Set clear standards for process documentation, ownership, maintenance, and accessibility.

• **HR Operations Compliance**

• Collaborate with the Director of People & Culture, the PEO, and other relevant resources to ensure operational compliance with employment documentation, recordkeeping, and HR administrative requirements.

• Oversee personnel records, document retention, and compliance reporting.

• Assist with internal audits and operational compliance initiatives.

• **Process Improvement**

• Develop, document, and continuously enhance People & Culture processes and standard operating procedures.

• Identify opportunities to boost efficiency through process improvements, automation, and effective use of existing technology.

• Promote consistency, standardization, and operational excellence across the People & Culture function.

• **Onboarding & Offboarding**

• Provide leadership and operational oversight for the onboarding and offboarding functions.

• Ensure timely, consistent, and well-coordinated onboarding and offboarding processes across departments.

• Continuously evaluate and enhance onboarding and offboarding workflows to support a positive employee lifecycle experience.

• Guide the Onboarding & Offboarding Specialist regarding priorities, process standards, and service expectations.

• **Workflow & Process Governance**

• Establish operational standards and workflow ownership within the People & Culture function.

• Oversee the organization of SharePoint, documentation, and process governance.

• Ensure consistency in People & Culture processes, operational standards, and workflow governance.

• **Reporting Relationship**

• **Reports To:** Director of People & Culture

• **Direct Reports:** People Operations Specialist, Onboarding & Offboarding Specialist


⛳️ Requirements

• **Required Qualifications**

• Bachelor's degree or an equivalent combination of education and relevant professional experience.

• A minimum of seven years of progressive professional experience in operations, project or program management, business administration, human resources, systems implementation, consulting, or a related field.

• Proven experience leading complex projects or operational initiatives from planning to execution.

• Strong ability to assess existing processes, identify gaps, develop practical solutions, and establish clear workflows, ownership, and accountability.

• Experience in developing and maintaining policies, procedures, project plans, process documentation, or standard operating procedures.

• Demonstrated capability to work cross-departmentally, manage competing priorities, and advance projects in a fast-paced and evolving environment.

• Familiarity with business systems, reporting tools, workflows, data, or technology-enabled processes.

• Strong judgment, organizational skills, attention to detail, communication skills, and follow-through.

• Proven ability to lead, influence, and provide guidance to team members and cross-functional stakeholders.

• Ability to quickly learn and effectively apply new systems, business practices, terminology, and operational requirements.

• **Preferred Qualifications**

• Experience in supporting Human Resources, People Operations, business operations, professional services, or other employee-focused operational functions.

• Familiarity with HR systems, benefits administration, compensation processes, onboarding and offboarding, employee records, or workforce reporting.

• Experience in supporting a remote, geographically dispersed, or multi-state workforce.

• Background working with a Professional Employer Organization or third-party service providers.

• Experience in implementing systems, enhancing workflows, introducing automation, or leading organizational change.

• Experience in a law firm, professional-services organization, or rapidly growing company.

• Certification in SHRM, HRCI, project management, process improvement, or systems-related disciplines.
