This is a fully remote position, open to applicants in United States.
• Managing executive and national office administration.
• Key partner relationship management.
• Coordinating travel for the CEO and performing additional tasks to enhance the CEO's effectiveness in leading national priorities.
• Develop and execute a Salesforce-based CRM strategy to facilitate proactive relationship management with donors, board members, partners, and key stakeholders for the CEO.
• Collaborate with the Chief of Staff and executive team to convert relationship priorities into CRM workflows, contact lists, and outreach schedules.
• Establish and oversee a moves management pipeline to monitor the status and next steps for high-priority relationships across fundraising, advocacy, and partnership objectives.
• Provide training and support to staff contributing to CRM data, while setting data hygiene standards and input protocols.
• Work collaboratively across the organization to manage CEO engagements, including BBBS agencies and CEO-led thought leadership events.
• Spearhead integration and planning for cross-functional CEO engagements with internal and external stakeholders to maximize impact.
• Collaborate closely with the Chief of Staff to ensure coordinated oversight and seamless execution of executive office activities.
• Manage and support Executive Office project management as needed.
• Partner with the Chief of Staff to align, manage, and optimize the CEO’s travel itinerary, meetings, deliverables, and engagements.
• Collaborate closely with the CEO on deliverables tied to stewardship and alignment for BBBSA Board members and their meetings.
• Work in close coordination with the executive office team on briefing and preparation for CEO executive visibility engagements.
• Assist the CEO in executing priorities, leading strategic and priority projects when necessary.
• Act as a representative of the executive office, ensuring staff, partners, and visitors are warmly welcomed on behalf of the CEO, both virtually and in person, while promptly addressing all requests/messages to and from the CEO.
• Support the management of presentations and materials for CEO-led meetings and communications, including tasks like revising presentation slides and handling email communications.
• Create and/or format PowerPoint presentations, correspondence, and documents.
• Recruit, train, retain, and foster the professional development of direct reports.
• Cultivate a dynamic, supportive, and effective team that positively impacts BBBSA and the Big Brothers Big Sisters Network.
• Lead and manage resources (both personnel and capital) that ensure positive and measurable success.
• Track progress against performance targets and implement countermeasures when necessary.
• Exhibit a commitment to BBBSA’s shared leadership competencies and organizational values.
• Provide consistent follow-up on assigned projects and after meetings.
• Foster an environment where all team members feel valued, included, and empowered to reach their full potential.
• Bachelor's degree or equivalent relevant business experience.
• A minimum of 8-10 years of senior-level executive assistance, operations management, and administrative project experience for a national organization; nonprofit and board experience is preferred but not mandatory.
• Highly proficient in Microsoft Office Suite, with advanced expertise in Office, Outlook, Word, PowerPoint, and Excel.
• Advanced practical knowledge in organization, project management, travel, and relationship management platforms, including but not limited to Microsoft Asana, OneNote, SharePoint, NEO1, or Concur; Salesforce CRM, virtual meeting platforms (e.g., Zoom, Microsoft Teams, etc.) or similar software, with the ability to learn new or updated technology.
• Exceptional time management skills with a proven track record of meeting deadlines.
• Expert-level verbal and written communication skills, along with meticulous attention to detail.
• Excellent interpersonal skills with a proven ability to build rapport and maintain relationships across various internal and external stakeholders.
• Extensive knowledge of office administration, clerical systems and procedures, and recordkeeping systems.
• Capability to identify and resolve problems and facilitate conflict resolution effectively.
• Highly organized, with a demonstrated ability to manage multiple projects, set and prioritize timelines and budgets in a fast-paced environment while ensuring high-quality, detail-oriented work.
• Leadership and cross-functional project management abilities, with the capacity to motivate and unite others towards a common goal.
• Proven adaptability in handling multiple projects and deadlines in a fast-paced environment while maintaining a focus on discretion, timeliness, and high-quality, detail-oriented work.
• Demonstrates initiative, creativity, and innovation; exceptional attention to detail and organization.
• Sound judgment, discretion, and capability to manage sensitive information.
• Experience with document and file management tools.
• Travel: Approximately 20%.
