📋 Description

• Assist the Chief Information Officer with daily administrative and operational tasks, including scheduling, communications, planning, and execution.

• Oversee intricate calendars by evaluating requests, prioritizing meetings, suggesting trade-offs, and aligning schedules in accordance with GitLab's meeting standards and practices.

• Proactively handle incoming requests for the CIO by defining issues, providing recommendations, and facilitating timely decisions rather than merely escalating questions.

• Take ownership and enhance leadership rhythms within the broader Office of the CIO, which includes staff meetings, team meetings, planning cycles, and other recurring operational mechanisms.

• Prepare comprehensive agendas, briefing materials, and meeting content well in advance to enable thoughtful review and meaningful discussions in both internal and external meetings.

• Monitor follow-ups, action items, deliverables, and updates across direct reports and functional peers, actively reminding the CIO when actions or acknowledgments are necessary.

• Assist the CIO in maintaining clear visibility into team progress, emerging issues, and achievements across the organization.

• Cultivate trusted working relationships with leaders, direct reports, and key individual contributors to remain informed about developments within the division and provide well-informed insights and advice.

• Coordinate comprehensive travel logistics, including transportation, accommodation, security, visas, and related documentation.

• Process expense reports and ensure reimbursements are monitored accurately and followed up on in a timely manner.

• Collaborate with People Operations, Information Technology, recruiting teams, and other Executive Business Administrators to address logistics, schedule interviews, coordinate onboarding, and provide support when needed.

• Manage team meetings, onsite events, and other gatherings by handling scheduling, materials, vendor coordination, agenda development, pre-meeting preparations, note-taking, action item tracking, and budget support while utilizing AI tools to enhance routine tasks and information synthesis.


⛳️ Requirements

• Proven experience in supporting senior executives within a fast-paced business environment, demonstrating the ability to manage shifting priorities, sensitive issues, and competing demands.

• A proactive, partnership-oriented working style, with the capacity to anticipate needs, respond promptly, and adapt thoughtfully to a constantly evolving environment.

• Comfort in navigating ambiguity and managing complexity with sound judgment, calm execution, and strong problem-solving abilities.

• Capability to manage complex calendars, travel arrangements, and expenses for multiple stakeholders while ensuring accuracy and clear communication.

• Experience collaborating with technology or Information Technology organizations, with a solid understanding of how to support cross-functional operational work.

• Excellent executive communication skills, including the ability to synthesize information, prepare recommendations, and ensure pertinent content is available at the appropriate time.

• Demonstrated follow-through and accountability, including the confidence to keep senior leaders organized with reminders, outstanding items, and commitments.

• Strong interpersonal skills and the ability to establish trusted relationships with leaders, peers, and key contributors while maintaining discretion with confidential information.

• Proficient in tools such as Google Workspace, Slack, Zoom, and Navan or similar platforms used for collaboration, scheduling, travel, and expense management.

• Comfortable utilizing AI tools to enhance productivity, automate routine tasks, and synthesize information.
