Senior Executive Assistant – Operations-Focused

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Manage complex calendar and inbox operations across three companies, utilizing prioritization skills (beyond mere scheduling).

• Serve as a gatekeeper and decision-support partner by triaging requests, crafting responses, and suggesting next steps.

• Prepare and organize board materials, executive reports, and leadership documentation with a high level of accuracy and confidentiality.

• Monitor cross-company projects, deliverables, and deadlines to ensure essential tasks are visible, progressing, and completed on schedule.

• Coordinate cross-functional initiatives by aligning stakeholders, conducting follow-ups, and eliminating execution obstacles.

• Enhance internal workflows by documenting processes, streamlining recurring tasks, and implementing more efficient systems.

• Assist with basic bookkeeping tasks in QuickBooks, including transaction categorization and operational finance administration.

• Provide light marketing and administrative coordination (task-based execution support, not strategic ownership).

• Facilitate internal AI adoption by identifying repetitive tasks, testing tools, and creating straightforward playbooks for team use.

• Maintain a high-quality operational “runway” for the executive, including meeting preparation, context briefs, and proactive reminders to avoid surprises.


⛳️ Requirements

• 4–8+ years of experience supporting senior executives (preferably assisting multiple leaders or operating across various business lines).

• Demonstrated operational ownership beyond administrative support (you’ve improved workflows, created systems, or enhanced execution measurably).

• Strong calendar and inbox management skills with real prioritization judgment and confidence in making decisions within established guidelines.

• Experience in preparing executive-ready materials (board presentations, reports, leadership documents, meeting briefs, or similar).

• Proven ability to coordinate cross-functional work and ensure follow-through in fast-changing, ambiguous settings.

• Familiarity with tools and systems (task/project management, documentation, collaboration platforms) and a curiosity about AI for efficiency.

• **Nice-to-have:**

• Experience directly supporting board-level stakeholders (board meetings, governance materials, investor-style reporting, etc.).

• Exposure to QuickBooks and basic bookkeeping processes (categorization, reconciliation assistance, finance administration).

• Experience in multi-entity environments (holding companies, multiple brands, multiple legal entities).

• Background in or exposure to financial advisory, accounting/advisory, or e-commerce/retail operations.
