This is a fully remote position, open to applicants in Canada.
• Take charge of all aspects of logistics for the trade shows and industry conferences that Bankjoy participates in throughout the year, encompassing but not limited to credit union and community banking events across North America.
• Oversee booth design, shipping, setup, and coordination of teardown.
• Identify and manage event vendors, including those for AV, printing, promotional items, and signage.
• Organize internal staffing plans for each event — determining who will attend, arranging travel logistics, creating booth schedules, and preparing briefing materials.
• Keep an annual event calendar and proactively highlight deadlines, registration cutoffs, and sponsorship opportunities.
• Spearhead the comprehensive planning and execution of Bankjoy's annual client conference every September, from selecting the venue to post-event wrap-up.
• Handle venue contracts, catering, AV, registration, hotel room blocks, and on-site logistics. Collaborate with internal teams on agenda, speaker lineup, and attendee communications.
• Manage the event budget and monitor actuals compared to the plan throughout the planning cycle.
• Oversee attendee registration and communications before and after the event.
• Maintain and manage the events budget across all activities, providing regular updates to leadership.
• Source, negotiate, and oversee contracts with event vendors and venues.
• Ensure that all events are executed on schedule and within budget.
• Deliver post-event summaries that include attendance, spending, key outcomes, and suggestions for future events.
• Collaborate with Sales and Customer Success on post-event follow-up to ensure leads and client interactions are captured and acted upon.
• Minimum of 6 years of event management experience, preferably in B2B SaaS, fintech, or financial services.
• Demonstrated success in managing trade shows and multi-day conferences from start to finish, including budget management.
• Strong negotiation skills and experience in contract management with vendors.
• Outstanding organizational skills and meticulous attention to detail — capable of managing multiple events at various stages simultaneously without oversight.
• Proactive communicator who identifies issues early and keeps all stakeholders updated.
• Comfortable working independently in a remote, fast-paced startup setting.
• Willingness to travel to events across North America as necessary (estimated 6–10 trips annually).
