This is a fully remote position, open to applicants in Alaska, +12 more states.
• Take charge of the complete execution strategy and logistics for in-person, hybrid, and virtual conferences and events, ensuring they align with brand and business goals.
• Create event-specific plans that outline key messages, exhibit design and layout, digital content strategy, audience engagement ideas, and valuable sponsorship or advertising opportunities, while leading pre-event planning to ensure stakeholder and customer alignment.
• Provide comprehensive direction and oversight of all logistics related to conferences and events, including budgeting, venue reservations, catering, branding and signage, content creation, event production, supply procurement, audiovisual coordination, travel arrangements, conference materials, and security.
• Develop and maintain thorough documentation for event execution, including run-of-show schedules, logistics guides, and onsite playbooks, ensuring timely communication and alignment with internal teams involved in or attending the events.
• Supervise the creation and management of event registration platforms, landing pages, and associated communications in line with corporate branding standards.
• Manage the financial performance of assigned conferences and events by forecasting, monitoring, and controlling expenses, utilizing negotiation, budgeting, and vendor management practices to optimize spending and enhance value.
• Cultivate strong cross-functional and external partnerships by establishing planning rhythms with internal stakeholders and external partners to define conference objectives, experience criteria, and execution strategies that support business priorities and stakeholder goals.
• Handle post-event responsibilities, including expense reconciliation, event assessment, and reporting of outcomes, insights, and recommendations.
• Define, monitor, and report on essential performance metrics for each conference or event, including attendee feedback and surveys, engagement and participation data, and effectiveness measures and ROI, using insights to foster continuous improvement and inform future event planning.
• Implement industry trends and introduce new resources, tools, and ideas to the team to consistently enhance the attendee/stakeholder experience and strengthen the overall event strategy.
• A Bachelor’s degree in Communications, Marketing, or a related field, or equivalent work experience is required.
• A minimum of 5 years of progressive experience in planning, coordinating, and executing corporate conferences, trade shows, and large-scale events, including in-person, hybrid, and virtual formats is required.
• Demonstrated experience in managing end-to-end event execution, from strategic planning and pre-event alignment to onsite delivery and post-event evaluation is required.
• Proven ability to handle multiple concurrent events throughout an annual calendar, balancing competing priorities, timelines, and stakeholder needs is required.
• Demonstrated experience in developing and managing event budgets, including forecasting, expense tracking, vendor negotiation, and delivering events within approved financial limits is required.
• Proven experience in managing event plans and execution documentation, such as run-of-show schedules, logistics plans, booth management, vendor support, onsite playbooks, and post-event reporting is required.
• Proven ability to analyze event performance and ROI, including defining metrics, evaluating engagement and outcomes, and applying insights to enhance future events is required.
• Experience in keeping up with industry trends, tools, and best practices and applying innovative strategies to improve attendee and stakeholder experience is preferred.
• Familiarity with HubSpot or other marketing automation tools is preferred.
