This is a fully remote position, open to applicants in Oregon.

📋 Description

• Accountable for the prompt submission of electronic invoices and accruals to clients on a monthly basis.

• Supervising the transition of clients to e-billing while providing ongoing support to attorneys and clients in all matters related to electronic billing.

• Managing a substantial volume of intricate e-submission tasks for key corporate clients, ensuring adherence to all client guidelines, internal protocols, and the firm's procedures during the submission process.

• Serving as the intermediary between billing attorneys/secretarial staff and clients' personnel assigned to electronic billing, offering expert-level subject matter support.

• Entering, maintaining, and updating data for assigned clients in the billing system and clients' external web applications; ensuring all pertinent information is current and aligned in the firm's billing system.

• Implementing accruals, budgets, and fulfilling information and data requests.

• Collaborating with the department's supervisor to enhance e-billing systems by managing user accounts, resetting passwords, assigning appropriate security levels, entering budgets, status reports, and matter profiles in various subsystems.

• Conducting ad hoc analyses of complex client accounts concerning collections, rates, and invoices that have been reduced or rejected.

• Managing time and absence records for direct reports, ensuring system accuracy and compliance with timekeeping policies and procedures.

• Engaging with direct reports, management, and clients regarding job or deadline concerns. *Promptly escalate operational issues to the Supervisor or Manager. Address client concerns and devise solutions in accordance with established policies and procedures. Ensure the team delivers exceptional service to clients while fostering strong customer relationships.

• Generating required reports in a timely manner.

• Assisting the team in completing more complex tasks.

• Conducting and overseeing the quality assurance process to maintain efficient workflow and ensure client satisfaction.

• Monitoring workflow to guarantee tasks are completed effectively, accurately, and within deadlines. Ensuring the team adheres to standard operating procedures.

• Training new employees on policies and procedures.

• Maintaining all logs and reporting documentation as needed.


⛳️ Requirements

• 10 years of legal e-billing experience is preferred.

• Advanced Excel skills (including VlookUp and Pivot Tables) are required.

• Experience with Aderant, BillBlast, and eBilling Hub is necessary.

• Ability to work with clients across different time zones is essential.

• Proficiency with AI tools and emerging technologies to enhance workflow efficiency is required.

• Strong knowledge of LEDES formats, including LEDES 1998B, 1998BI, XML, and client-specific invoice formatting requirements is crucial.

• An Associate's or Bachelor's degree is preferred, with a focus on Business, Accounting, or Finance. Relevant experience may be considered in lieu of formal education, depending on the candidate's overall employment history.
