This is a fully remote position, open to applicants in New York.
• Evaluate and inventory third-party applications and vendor platforms for their communication and collaboration functionalities.
• Collaborate with software vendors and product teams to pinpoint communication features.
• Create and sustain assessment questionnaires and evaluation frameworks.
• Record communication capabilities, retention options, compliance controls, and archiving features.
• Identify risks related to regulatory compliance, recordkeeping, and overall governance.
• Assess the potential for disabling, governing, archiving, or integrating communication features with Proofpoint.
• Work alongside InfoSec, Legal, Compliance, and other key stakeholders to explore remediation strategies.
• Act as a subject matter expert on platforms including Microsoft Teams, Exchange Online, SharePoint Online, OneDrive for Business, Microsoft Copilot, and Forms.
• Collect requirements and facilitate workshops and meetings with both internal teams and external vendors.
• Generate project plans, status updates, risk registers, executive summaries, presentations, and materials for leadership review.
• Monitor the progress of assessments, remediation efforts, and vendor interactions.
• Assess message retention, export capabilities, journaling, API access, archiving integrations, compliance monitoring, and eDiscovery support.
• Collaborate on the integration of enterprise compliance platforms, proof of concepts, and technical validations.
• Complete vendor platform assessments within set deadlines and provide recommendations to Compliance, Legal, and IT leadership.
• A bachelor's degree in Information Technology, Business Administration, Information Systems, or a related field.
• Over 5 years of experience in collaboration technologies, Microsoft 365 administration, compliance technology, or similar areas.
• In-depth knowledge of chat, messaging, voice, conferencing, and collaboration platforms.
• Experience collaborating directly with software vendors and overseeing technology assessments.
• Proven Business Analyst skills, including requirements gathering, documentation, and stakeholder management.
• Experience in project management and coordinating cross-functional workstreams.
• Exceptional written and verbal communication skills.
• Strong organizational abilities with a capacity to manage multiple assessments simultaneously.
• Familiarity with Microsoft Purview Compliance solutions is preferred.
• Experience with Proofpoint Archive, Capture, Communications Compliance, or comparable platforms is preferred.
• Understanding of SEC, FINRA, recordkeeping, and electronic communications compliance standards is preferred.
• Knowledge of data retention, eDiscovery, legal hold, and records management concepts is preferred.
• Experience with vendor risk assessments or technology governance programs is preferred.
• Microsoft 365 or relevant industry certifications are preferred.
