This is a fully remote position, open to applicants in United States.
• U.S. Program Administration: Manage the daily functions of U.S. benefits programs, which include medical, dental, vision, HSA/FSA, life and AD&D, short- and long-term disability, 401(k), wellness, and voluntary benefits, with a strong emphasis on self-insurance.
• Leave Management: Oversee the complete administration of U.S. leave programs, encompassing FMLA, state paid family/medical leave, parental leave, PTO, short- and long-term disability, workers’ compensation, and ADA accommodations.
• Vendor & Broker Management: Act as the main point of contact for U.S. benefits brokers, carriers, and third-party administrators; oversee service levels, manage escalations, and handle renewals.
• Compliance & Audit: Ensure adherence to all federal and state regulations, including ERISA, ACA, HIPAA, COBRA, Section 125, and IRS/DOL requirements. Lead initiatives such as 5500 filings, non-discrimination testing, SAR distribution, and annual audits.
• Open Enrollment: Direct the annual U.S. open enrollment process, which includes HRIS configuration and testing, communication strategies, employee education sessions, and post-enrollment audits.
• Employee Experience: Serve as the reliable resource for U.S. employees regarding benefits inquiries; create clear communications and educational materials that empower employees to utilize their benefits effectively.
• Data & Analytics: Examine enrollment, utilization, and cost data to detect trends; generate regular dashboards and ad-hoc analyses that guide renewal strategies and plan design.
• Fiscal Oversight: Reconcile monthly carrier invoices and self-bill files; collaborate with Finance and Payroll on accruals, GL coding, and monitoring the budget for U.S. benefits expenditures.
• Process & Systems: Identify and execute improvements in Workday and with vendor partners to automate enrollments, EOI workflows, evidence-of-coverage tracking, and reporting.
• Escalated Support: Function as the ultimate escalation point for intricate U.S. employee benefits issues and claims disputes; coordinate with carriers and brokers to facilitate resolution.
• Cross-Region Partnership: Collaborate with global Total Rewards Partners to uphold a cohesive global benefits philosophy, share best practices, and ensure a consistent employee experience across regions.
• Education: Bachelor’s degree in Human Resources, Business Administration, Finance, or a related field; CEBS, CBP, or PHR/SHRM-CP certification is advantageous.
• Experience: 3–5 years of progressive experience in U.S. benefits administration, with direct responsibility for self-insurance, open enrollment, compliance filings, and vendor management.
• Regulatory Knowledge: Comprehensive working knowledge of ERISA, ACA, HIPAA, COBRA, FMLA, ADA, Section 125, and IRS/DOL benefits regulations.
• Technical Skills: Expertise in Workday HRIS (preferably the Benefits module) and advanced Excel capabilities (including pivots, lookups, and modeling) for thorough analysis and reconciliation.
• Communication: Ability to convey complex benefits concepts to employees and senior stakeholders with empathy, clarity, and discretion.
• Soft Skills: Exceptional attention to detail, strong project management skills, and the capability to juggle competing priorities in a fast-paced environment.
