This is a fully remote position, open to applicants in Florida.
• Facilitate the scheduling of relief veterinarians across various hospitals and markets utilizing the Vetcher scheduling platform.
• Evaluate and oversee pending shift requests and their approvals.
• Track open shifts and pinpoint potential coverage risks on the horizon.
• Collaborate with Practice Managers and Regional Directors regarding essential staffing requirements and coverage strategies.
• Handle cancellations, modifications to schedules, and the need for backfills.
• Provide support for urgent and last-minute coverage while balancing availability, hospital requirements, and expenses.
• Coordinate with authorized relief staffing agencies when extra coverage is necessary.
• Keep precise schedules, veterinarian profiles, scheduling information, and shift records updated in Vetcher.
• Assist with hospital openings, market expansions, and evolving staffing requirements.
• Act as the primary scheduling contact for relief veterinarians.
• Communicate opportunities for shifts, approvals, cancellations, schedule adjustments, and platform updates.
• Foster relationships with relief veterinarians and spearhead re-engagement initiatives.
• Aid newly onboarded veterinarians with their initial shift placements.
• Collaborate with Talent Acquisition to recognize recruiting needs.
• Escalate concerns from veterinarians, operational feedback, and recurring scheduling challenges.
• Work alongside Practice Managers, Regional Directors, Talent Acquisition, and Operations on staffing priorities.
• Assist hospital teams with Vetcher processes and best practices.
• Provide platform support, basic troubleshooting, and issue coordination.
• Support scheduling processes, standard operating procedures, training, and educational initiatives.
• Monitor scheduling metrics, staffing trends, engagement levels, coverage risks, rates, and labor costs.
• Deliver updates on high-priority and challenging markets to staff.
• Create data-driven strategies to enhance scheduling performance.
• Recognize scheduling challenges, address discrepancies, and escalate high-risk staffing issues.
• Manage a variety of markets, priorities, and urgent staffing needs.
• Bachelor’s degree or an equivalent mix of education and relevant experience.
• Exceptional organizational, prioritization, and time-management capabilities.
• Outstanding written and verbal communication skills.
• Strong customer service focus and relationship-building expertise.
• Capacity to manage multiple markets, schedules, and competing priorities at once.
• Robust problem-solving skills and the ability to make decisions in a dynamic environment.
• Detail-oriented with a commitment to accuracy.
• Proficient in working with scheduling platforms, reporting tools, and technology.
• Ability to interpret scheduling data and spot trends or areas requiring attention.
• Ability to collaborate effectively across Talent Acquisition, Operations, Accounts Payable, IT, and hospital leadership teams.
• Comfortable handling challenging or time-sensitive discussions with professionalism.
• Ability to adjust to changing staffing requirements and evolving processes.
• Previous experience in scheduling, staffing, recruiting, workforce management, veterinary medicine, healthcare, or a related field is preferred.
• Experience in supporting a multi-location organization is advantageous.
